Job DescriptionWe are looking for a dedicated Administrative Assistant to join our team in New York, New York. This role involves providing comprehensive support in a small office environment, ensuring smooth operations and attentive interactions with visitors and colleagues. As a Long-term Contract position, this opportunity offers potential for growth and stability for the right candidate.
Responsibilities:
• Welcome and assist visitors, ensuring they are checked in and escorted to the appropriate area.
• Manage scheduling and calendar tasks, including assisting with the executive’s appointments.
• Organize and maintain office supplies, including stocking and tidying the pantry.
• Handle weekly snack deliveries by restocking items from the lobby to the office pantry.
• Provide support for office projects and administrative tasks as needed.
• Create and update Excel spreadsheets to support various office needs.
• Communicate effectively with team members and external contacts to ensure seamless operations.
• Utilize email tools like Gmail to manage correspondence promptly.
• Assist with onboarding and preparation for investor visits, ensuring the office is ready for successful engagements.• Proficiency in Gmail for email management and communication.
• Basic knowledge of Microsoft Excel, including spreadsheet creation and updates.
• Familiarity with Slack is a plus but not mandatory.
• Strong organizational skills with attention to detail.
• Ability to manage multiple tasks efficiently in a busy office environment.
• Excellent interpersonal skills to interact with visitors and team members professionally.
• Portuguese language skills are highly desirable, as the company has Brazilian ties.
• Previous experience in administrative support or receptionist roles is preferred.
