VSI (formerly Virginia Spine Institute), the leading concierge spinal healthcare practice in the Washington D.C. metropolitan area, is seeking a Surgery Scheduler to join our award-winning team. The Surgery Scheduler is responsible for coordinating and scheduling patients requiring surgical services, following hospital/surgery center requirements and departmental/physician guidelines. This is a permanent, full-time position working out of VSIs Reston, VA office.
Essential Job Responsibilities:
- Acts as intermediary between patient and surgeon and as primary contact for surgical patients and hospital.
- Organizes and schedules surgeries, regenerative procedures, preoperative and postoperative appointments and any other tests as ordered by surgeons for patients.
- Assists in scheduling preoperative medical clearance appointments by coordinating with providers outside of the practice and providing necessary information for obtaining medical clearances.
- Provides education concerning patient responsibilities.
- Coordinates arrangements for surgical assistants, special equipment and surgical materials. Organizes the next days schedules and ensures that there are no physician or equipment conflicts.
- Promptly and efficiently responds to patient and physician inquiries, scheduling requests, and updating information.
- Provides necessary information related to the surgery through telecommunications system and interaction with surgeon, OR/Hospital and patient.
- Handles correspondence related to surgery to and from surgical patients, OR/Hospital, outside physicians and insurance companies.
- Provides detailed explanation to patients about insurance coverage and costs associated with their procedure.
- Responsible for the collection of surgery funds from patients and initiates the surgical pre-certification process should the Authorization Specialist be unavailable.
- Schedules and coordinates all treatments and services related to each patients recovery plan to include therapies such as physical therapy, hyperbaric oxygen therapy (HBOT), shockwave therapy, and various other appointments.

Job Requirements:
- Completed at least 2 years of college and/or have 3-5 years of administrative experience
- Exhibit empathy and compassion toward patients; driven to go well beyond what is expected
- Comfortable communicating patients financial responsibility with regard to insurance coverage and cost
- Excellent organization skills with the ability to prioritize tasks and handle multiple tasks and projects at one time
- Ability to portray patience, understanding and impeccable professionalism even when under stress
- Conscientious, thorough and precise particularly with details, stable, tolerant and supportive
- Project a pleasant telephone voice and manner through exceptional communication skills
- The ability to collaborate within a team setting and work with minimal supervision
- Adept at learning new skills; reliable and adaptable
- Able to take change well and with a positive attitude
- Strong knowledge of Microsoft Office
