Reporting to the Director for Business Operations, the Administrative Assistant supports multiple departments and is responsible for providing on-site administrative support to ensure efficient operation of the organization. The role involves handling a wide range of duties and presenting a professional image of Global Refuge to the public over the phone and in person.

Global Refuge, formerly known as Lutheran Immigration and Refugee Service (LIRS), is a nonprofit serving newcomers seeking safety, support, and a share in the American dream. Since 1939, we have welcomed those seeking refuge, upholding a legacy of compassion and grace for people in crisis. We walk alongside individuals, families, and children as they begin their new lives in the United States through our work in refugee resettlement, care for unaccompanied children, and economic empowerment and employment. Our work also extends to Guatemala and Mexico, where we help young people with skills training and community reintegration. To date, we have served over 800,000 people from around the globe. DUTIES

  • Perform administrative support functions including processing invoices, placing orders, processing mail, sending out supplies, etc.
  • Prepares applications and correspondence and ensures timely submission.
  • Organizes information and maintains files that are easily accessible.
  • Enters accurate information in systems and databases.
  • May schedule and coordinate on-site meetings including reserving conference space and catering needs.
  • Provides front desk support.
  • Other duties as assigned.

QUALIFICATIONS

  • High School diploma or equivalent and 3-5 years of relevant administrative experience.
  • Proficiency with Microsoft Outlook and Office Suite, with experience in Excel and enterprise solutions supporting an organization's administrative operations.
  • Experience with salesforce and other databases desired.
  • Ability to exercise discretion and make decisions.
  • Incumbent must possess excellent interpersonal and customer service skills.
  • Attention to detail; excellent organizational skills to coordinate multiple projects and manage multiple deadlines; commitment to transparency; ability to generate timely and detailed documentation.
  • Ability to operate independently in a fast-paced environment.
  • Commitment to Global Refuge's core mission and values and an ability to model those values in relationship with colleagues and partners; commitment to empowering refugees and migrants.

SPECIAL POSITION REQUIREMENTS

  • Fluent in Spanish and English preferred.
  • Valid driver's license and clean driving record required.
  • Ability to work onsite in the Baltimore Headquarters and while infrequent, to travel to other offices within the region (primarily Baltimore, MD area).
