We are looking for a dynamic Administrative Assistant to join our team in Santa Monica. In this contract role, you will play a key part in creating a welcoming and efficient workplace environment while providing essential support to both colleagues and visitors. This position is ideal for someone who thrives in a detail-oriented setting and enjoys multitasking to ensure seamless daily operations.
Responsibilities:
• Serve as the primary point of contact for visitors and clients, ensuring they are greeted warmly and courteously.
• Oversee the maintenance and cleanliness of common areas, conference rooms, and the front desk to uphold a productive and inviting environment.
• Coordinate company events, such as team luncheons and holiday celebrations, contributing to a positive work culture.
• Collaborate with the IT team to resolve technical issues related to office equipment and assist with ad hoc projects.
• Manage facility-related tasks, including scheduling conference rooms, organizing catering services, and monitoring visitor access.
• Handle administrative tasks such as processing mail, managing office supplies, and issuing work orders to vendors.
• Create purchase orders and provide support with scheduling meetings, tracking expenses, and other administrative functions.
• Lead or assist with special projects to enhance workplace efficiency and experience.
• Continuously seek opportunities to improve processes and contribute to a better work environment.
• At least 1 year of experience as a receptionist or administrative assistant in a detail-oriented environment.
• Familiarity with the financial services industry is an advantage.
• Strong verbal and written communication skills, with an emphasis on clear and effective interactions.
• Exceptional organizational abilities and attention to detail, especially under pressure.
• Proven ability to manage multiple tasks simultaneously, including handling calls and guest interactions.
• Demonstrated ability to maintain confidentiality and handle sensitive information.
• Proficiency in Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint.
• Comfortable interacting with senior business leaders.
