Position Overview
A small, client-focused tax accounting firm in Apex, NC is seeking a versatile and detail-oriented Part-Time Staff Accountant / Administrative Assistant to support daily accounting functions and front-office operations. This hybrid role is ideal for someone who enjoys working with numbers, interacting with clients, and helping keep a busy firm organized and running smoothly—especially during tax season.
Key Responsibilities
Accounting & Tax Support
- Assist with preparation of individual, corporate, and partnership tax returns under the supervision of senior staff
- Perform bookkeeping tasks including bank reconciliations, journal entries, accounts payable/receivable, and payroll processing
- Organize and maintain client financial records and supporting documentation
- Assist with quarterly and annual tax filings, extensions, and estimated payments
- Generate financial statements, reports, and schedules for tax preparation or client review
Administrative & Office Support
- Serve as the first point of contact for clients by answering phone calls, greeting visitors, scheduling appointments, and managing email communications
- Maintain organized client files (digital and physical) while ensuring confidentiality of sensitive information
- Manage incoming and outgoing mail, including tax documents, engagement letters, and client correspondence
- Prepare invoices, track payments, and assist with billing inquiries
- Support general office tasks such as ordering supplies, scanning, copying, and maintaining a clean and professional workspace
Client Service
- Provide friendly, timely support to clients regarding document requests, appointment updates, and general inquiries
- Assist clients with uploading or submitting tax documents through secure client portals
- Help ensure a smooth and professional client experience, particularly during busy tax season
Qualifications
Required
- Associate degree in Accounting, Business Administration, or a related field (or equivalent experience)
- Minimum of 1 year of experience in accounting, bookkeeping, or office administration
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong organizational skills, attention to detail, and ability to multitask
- Excellent communication and customer service skills
- Ability to maintain confidentiality and handle sensitive financial information
- Flexibility to work additional hours during peak tax season
Preferred
- Experience working in a small CPA or tax accounting firm
- Familiarity with accounting or tax software (e.g., QuickBooks, Drake, Lacerte, UltraTax)
- Experience with payroll systems and secure client portals
- Basic understanding of tax documentation and accounting principles
