POSITION SUMMARY: Greet participants, families, caregivers, and other stakeholders. Escort/assist participants in and out of the programs and building as needed. Accurately complete all required documentation within specified time limits. Provide administrative support for overall ADH program.


PRINCIPAL DUTIES AND RESPONSIBILITIES:

The following represents the majority of Receptionist duties performed by the position, but is not meant to be all inclusive nor prevent other duties from being assigned when necessary.

  • Escort/assist participants in and out of the programs and building as needed.
  • Coordinate all arrivals and departures in a professional, orderly, and friendly manner.
  • Answer telephone, forward calls and take messages as appropriate.
  • Refer all communications to appropriate staff.
  • Disperse transportation vouchers.
  • Maintain current, accurate participant attendance information, updating weekly.
  • Verify accurate daily attendance.
  • Accept and document fee payments.
  • Obtain signatures from caregiver/families as instructed by Site Manager and Family Assistance Coordinator.
  • Perform all other duties as requested by Site Manager or site Leadership Team member.
  • Attends and participates in staff meetings, in-services and projects and committees as assigned.
  • Adheres to and support the facilities policies, practices and procedures.
  • Accepts assigned duties in a cooperative manner and perform all other related duties as assigned by Supervisor.
  • Participates in special projects and performs additional duties as required or assigned.
  • Clean and disinfect the receptionist counter, lobby chairs, end table, phones and keyboards as needed, and organize the receptionist counter at the end of the shift.

The following represents the majority of Administrative Assistant duties performed by the position, but is not meant to be all inclusive nor prevent other duties from being assigned when necessary.

  • Process mailings.
  • Assemble information packets.
  • Provide set-up for staff in-service trainings.
  • Prepare in-service sign-in sheets, process and maintain in-service training records.
  • Research and process approved site orders.
  • Reserve conference rooms and presentation equipment.
  • Maintain digital and physical inventory of promotional items for marketing purposes, and prepare promotional items for marketing events.
  • Provide general administrative support for ADS program as requested by ADS Program Coordinator.

Requirements:

EDUCATION AND EXPERIENCE: High school graduate or equivalent, associate’s degree preferred. Five years’ experience in receptionist position / administrative support. CNA Certification preferred but not required.SKILLS:

  • Excellent interpersonal, written and verbal communication skills.
  • Excellent typing, spelling, punctuation, and grammar.
  • Good judgment, discretion, organizational ability, initiative, and the ability to work independently.
  • Be intuitive, take initiative and be a self-starter.
  • Proficient knowledge of Microsoft Word, Excel, PowerPoint & Outlook.
  • Ability to multi-task and act as a team player with a superior service attitude.
  • Ability and maturity to handle confidential and time-sensitive information.
  • Professional and cheerful with a positive attitude and demeanor.

PHYSICAL REQUIREMENTS: Ability to do heavy lifting for ambulation assistance, ability to lift 50 lbs. or push 200 lbs. Thirty percent of the work is performed while standing or walking. Good hearing and visual acuity. WORK ENVIRONMENT: The main work environment is an office setting of a non-profit organization providing a variety of services to seniors and their families.
