POSITION: Office Administrator



Sol Levinson & Bros., one of the largest and most successful funeral homes in the Baltimore metropolitan area, is seeking an Office Administrator. This is a full-time position with occasional holiday coverage.

GENERAL DESCRIPTION:

Under direct supervision of management, you will be responsible for all administrative functions.

SPECIFIC DUTIES & RESPONSIBILITIES:

  • Answer telephones, assist callers with their needs in a professional manner.
  • Greet families as they arrive to make funeral arrangements, or with any other requests.
  • Seat visitors in arrangement offices; offer coffee or other beverages to families as they are seated in the arrangement offices and notify proper personnel of their arrival.
  • Contact hospitals, nursing homes, and any other facility needed to facilitate and expedite the release of decedents; notify Funeral Director(s) of release.
  • Contact doctors, hospitals, etc. to obtain signed death certificates in a timely manner.
  • Complete data entry and all paperwork required for each funeral.
  • Complete death certificates with accuracy of information; obtain corrections as needed. Order registered copies from the State and process orders for delivery to families.
  • Organize and file paperwork and files throughout the office.
  • Order and stock supplies, forms and paperwork throughout the office.
  • Have knowledge of computer systems and websites; understand use and purpose of all programs and forms used in the funeral home.
  • Assist Funeral Directors, assist pre-need program, assist Accounting as needed.
  • Understand and oversee casket inventory system and procedures; place daily casket orders, post receipt of caskets and verify inventory accuracy.
  • Check company email periodically throughout the day and respond as needed.
  • Print reports and charts as requested by management.
  • Send statements, letters, and other correspondence to families.
  • Coordinate web casting of funerals.
  • Special projects as needed by Management.
  • Entire office staff needs to cross train in all office positions and provide coverage as needed in any job function.
  • Assist with training of new employees assigned to the office.
  • Dress professionally, act with integrity, and always represent Sol Levinson & Bros., Inc. in a professional and dignified manner.

PHYSICAL REQUIREMENTS:

  • Ability to lift up to 25 lbs.
  • Periodically bend and kneel.
  • Move throughout the funeral home to other filing areas and departments as needed. Occasional travel to other office locations in Columbia or Annapolis.
  • Speak professionally and communicate in clear and proper English

SCHEDULE:

  • Monday Friday, 8am 4pm. Rotating weekends 8am 4pm, and 1-2 Holidays per year
