Trademark Executive Assistant
Job Description
We are seeking a highly organized and detail-oriented Executive Assistant to provide high-level administrative, operational, and client service support within a Trademark practice. This role supports attorneys, paralegals, and practice leadership across trademark prosecution and disputes, client onboarding, business development, billing, and executive-level coordination. This role will sit hybrid in Silicon Valley, CA.
Key Responsibilities Include:
• Drafting and managing trademark-related documents and filings
• Coordinating with USPTO tools, docketing, vendors, and foreign counsel
• Supporting client onboarding, engagement letters, and conflicts processes
• Assisting with business development, marketing materials, CRM updates, and social media support
• Reviewing prebills, monitoring billing arrangements, and supporting collections
• Managing complex calendars, travel, meetings, and executive communications
• Supporting practice administration initiatives and special projects
Qualifications:
• 3+ years supporting law firm partners or senior executives
• 3+ years of trademark prosecution and/or dispute experience (domestic and foreign)
• Strong organizational, communication, and problem-solving skills
• High level of discretion, accountability, and professionalism
• Proficiency with MS Office, Adobe Acrobat, CRM tools, and collaboration platforms
