Workplace Experience Specialist: Full time Contract Position
Contract
Onsite (Eagan, MN)

Purpose:

As a Workplace Experience Specialist, you will be the face of the corporate office, delivering a warm, professional, and seamless experience for employees, clients, and guests. This onsite role blends hospitality and workplace operations, ensuring that every interaction and environment reflects the company’s culture of excellence. You will support daily office functions, coordinate services, and act as a central point of contact for workplace needs. We are a remote-first company and values quality in-person collaboration. The Workplace Experience Specialist ensures the delivery of exceptional meeting experiences at both Headquarters and Hub locations. This role requires exceptional communication, interpersonal skills and the ability to work cross-functionally with a hospitality mindset.

The specialist will be a role model for the company culture, building relationships across the organization to ensure continuous improvement based on employee feedback.

• Be the point of contact for internal and external visitors

• Ensure visitors feel welcome and supported

• Lead by example, promote a positive and enjoyable atmosphere onsite

• Through research and creative thinking, enhance in-person experience and hospitality

• Recommend changes to systems and procedures to improve efficiency and effectiveness

• Solicit employee feedback to discover likes and dislikes to consistently improve each experience

• Support all aspects of hospitality within Prime Headquarters and Hub locations

• Maintain compliance with company policy and procedures

• Ensure attention to housekeeping standards

Responsibilities:

• Manage conference room reservations based on company prioritization

• Gather meeting details and collaborate with internal partners and ensure key team members are informed (Facilities, IT, vendors and Real Estate, Leadership, Administrative Assistants)

• Ensure logistics of on-site meetings and event programs for the office are completed in advance of events and address ad hoc request during events

• Assist in the development and maintenance of Workplace Experience master documents such as SharePoint site, spreadsheets, calendars, and meeting guidelines • Liaise with vendors, security, and facilities management as needed for food deliveries, catering, janitorial needs and room set-up • Maintain and coordinate cleanliness conference rooms, kitchens, coffee machines, ice/water machines and meeting supplies • Other duties as assigned

Baseline Qualifications

Associate’s or Bachelor’s degree in Hospitality, Business Administration, Communications, or a related field or equivalent combination of education and/or relevant work experience; HS diploma or GED is required. • 2+ years’ experience in in hospitality, workplace experience, or concierge services

• Must be eligible to work in the United States without need for work visa or residency sponsorship.

Minimum Physical Job Requirements:

• Required to be on-site at Headquarter location Monday through Friday while meetings are taking place

• Ability to walk and/or stand 6 or more hours per day • Ability to reach, bend, stoop and/or grasp 6 or more hours per day • Frequently required to lift and/or move up to 10 pounds and occasionally required to lift and/or move up to 25 pounds.

Additional Qualifications

· Understanding of customer experience

· Experience in a hybrid or flexible work environment

· Strong interpersonal communication skills, including team leadership, conflict resolution and listening

· Strong organizational skills

· Ability to build excellent working relationships

· Excellent interpersonal abilities

· Flexibility of onsite hours to support varied event schedules

· Proficiency in Microsoft Office Suite

Preferred Qualifications

• Hospitality experience in corporate environments • Experience coordinating meetings nationally
