The Administrative Assistant works directly with firm management and other staff to support client billing and metrics tracking. In addition to these duties, they provide general firmwide support by performing administrative tasks. This is an entry-level position with opportunities to grow into other administrative roles in the firm. Our firm’s administrative needs frequently evolve and additional responsibilities may be assigned as priorities shift.
This is a full-time position at 34 hours per week, Monday-Thursday, working 8.5 hours per day during regular business hours. Exact start and end times will be determined by the candidate and their supervisor. Work is to be completed onsite in our Knoxville, Tennessee office. Occasional remote work may be allowed following a minimum 6-month onboarding period.
Qualifications & Helpful Skills:
- Minimum associate’s degree preferred
- Experience in a professional office setting
- Experience handling confidential client information
- Bookkeeping or accounting background
- Familiarity with Quickbooks, MS Excel, MS Word, Outlook, etc.
- Tech-savvy
- Strong analytical skills
- Organized, efficient, and fast-paced
- Flexible and adaptive
- Customer service oriented
- Excellent written and verbal communication
Responsibilities
- Set up new accounts in Quickbooks
- Process client payments
- Communicate with clients about billing questions, payment plans, and collections
- Document billing & payment information across platforms
- Coordinate with firm management and accounting firm re: best practices
- Track and report critical firm metrics
- Provide general administrative support to the fir
