Job Title: Full-Time HR Assistant
Reports To: Chief Operating Officer (COO)
Location: Onsite | Hicksville, NY
Compensation: $27 – $32 per hour
Schedule: 40 hours per week

Position Overview
We’re seeking a Full-Time HR Assistant to support our Human Resources operations at our Hicksville, NY office. This is a dynamic and multifaceted role, ideal for someone who is highly organized, detail-oriented, and passionate about HR. The HR Assistant will provide support in areas such as onboarding, compliance, payroll assistance, benefits administration, and general employee support.
Key Responsibilities
Onboarding & Employee Setup
- Prepare offer letters and manage all onboarding paperwork
- Complete and file I-9 forms and establish employee records
- Enter and update employee data in HRIS (Paychex Flex)
HRIS & Payroll Support
- Maintain up-to-date records in Paychex Flex (hires, terms, changes)
- Manage HRIS and make process improvements as needed
- Assist with biweekly payroll processing
- Run ad hoc reports including 401(k) census, headcount data, etc.
Compliance & Training
- Ensure ACA compliance and assist with 1095-C distribution
- Coordinate required state compliance training (e.g., sexual harassment prevention)
Recruitment Support
- Draft job postings and coordinate interview scheduling
- Assist in screening candidates as needed
Benefits Administration
- Serve as a resource for employee benefit inquiries
- Manage benefit enrollments, COBRA notices, and leaves (FMLA, PFL, DBL, Workers’ Comp)
- Approve and reconcile benefit-related invoices
Employee Relations & General HR Support
- Field and document employee relations concerns and escalate appropriately
- Maintain and audit personnel files
- Support additional HR projects and audits as needed
Qualifications:
Education & Experience
- Bachelor’s degree in Human Resources, Business Administration, or a related field
- Minimum of 3 years’ experience in an HR support role including payroll
Skills & Knowledge
- Proficiency with HRIS platforms (Paychex Flex preferred)
- Solid knowledge of HR practices and employment law
- Strong Microsoft Office skills, especially Excel and Word
- Excellent communication, interpersonal, and organizational skills
- High attention to detail and ability to maintain confidentiality
- PHR or SHRM-CP certification a plus
Physical Requirements
- Must be able to sit at a desk and use a computer for extended periods
- Ability to occasionally lift up to 10 pounds
- Office-based with occasional movement between departments
