We are seeking a polished, motivated, and relationship-centered Client Services Director to join our growing team and help shape the next phase of our firms success.


Position Overview

The Client Services Director (CSD) is the operational and interpersonal heartbeat of our firm. This role is responsible for ensuring a consistently exceptional client experience from initial contact through long-term engagement. The ideal candidate is a college-educated, proactive, and personable professional who can confidently engage with high-net-worth clientseven in country club settingswhile leading and inspiring a small team internally.


Key Responsibilities

1. Client Service & Relationship Management

  • Serve as the firms primary point of contact for client service.
  • Build and nurture long-term relationships with clients through empathy, follow-through, and personalized communication.
  • Monitor the entire client journeyfrom intake to document signing and beyondto ensure consistency and satisfaction.
  • Proactively address client needs, concerns, and opportunities for deeper engagement.

2. Leadership & Team Development

  • Train, mentor, and supervise administrative staff to uphold the firms high service standards.
  • Encourage accountability, continuous improvement, and collaboration among team members.
  • Provide constructive feedback and manage performance to drive team success.

3. Operational Excellence

  • Oversee and improve workflows related to client intake, scheduling, document preparation, and follow-up.
  • Implement and refine systems using CRM and project management tools to maximize efficiency.
  • Ensure timely handling of all client matters and internal processes.

4. Communication & Problem-Solving

  • Translate legal concepts into clear, client-friendly language.
  • Resolve service issues quickly and professionally, protecting the firms reputation for responsiveness and integrity.
  • Handle sensitive conversations with tact, diplomacy, and confidentiality.

5. Confidentiality & Professionalism

  • Uphold strict client confidentiality and adhere to the highest ethical standards.
  • Represent the firm with poise and professionalism, both internally and in external settings (e.g., networking events, country clubs, client meetings).

6. Adaptability & Strategic Growth

  • Be comfortable wearing many hats in a fast-evolving boutique firm environment.
  • Support marketing, client outreach, and business development initiatives as needed.
  • Embrace learning opportunities and stay current with best practices in client service and legal operations.


Qualifications

Education & Experience

  • Bachelors degree required.
  • Minimum of 35 years in a leadership or client-facing role within legal, financial, or professional services.
  • Estate planning, legal services, or financial advising experience strongly preferred.


Technical Proficiency

  • CRM and practice management systems (preferably Lawmatics, Clio, or PracticePanther).
  • Legal document management tools and e-signature platforms.
  • Office productivity software (Excel, Google Workspace, Microsoft Office).
  • Scheduling platforms and advanced calendar management.
  • Project management software (e.g., Monday.com, Trello).


Bonus Skills & Certifications

  • Paralegal certificate, legal admin training, or project management certification.
  • Experience working with high-net-worth clients, especially in estate, tax, or financial advisory contexts.
  • Basic understanding of billing, budgeting, and client account management.
