Position Purpose: The Surgery Scheduler, under the supervision of the Director of Operations , will represent the clinic in a courteous and efficient manner by answering telephone calls, scheduling surgeries and scopes, making sure that the documentation is properly filed, assisting in the bariatric scheduling process, and completing pre-certifications/prior authorizations prior to surgical date.

Reporting Relationships: The Surgery Scheduler reports directly to the Director of Operations and indirectly to the Chief Administrative Officer.

Major Duties and Functions:

  • To efficiently and accurately schedule surgeries utilizing the Practice Management System to facilitate and maximize the physicians’ efforts.
  • To professionally represent the clinic when answering phone calls and scheduling surgeries and procedures.
  • Schedules appointments and procedures for all specialties within the practice as directed by the practice administrator
  • Makes future clinical appointments for patients as needed by phone or in the office.
  • Coordinates the availability of multiple providers and locations.
  • Confirms correct procedure or appointment to be scheduled as necessary by chart or referral review.
  • Proactively schedules each procedure to ensure all available time is used appropriately by scheduling sequentially and utilizing the wait list and cancellation list when able.
  • Alerts appropriate staff when for all physician schedule changes. Reconciles provider schedules when errors occur.
  • Makes patients, their families and physicians their primary focus.
  • Develops and sustains productive working and patient relationships.
  • Actively seeks information to understand patient circumstances, problems, expectations

Areas of Direct Responsibility:

Assist Physicians and clinical staff with surgery scheduling/overall physician schedules.

  • To assist physicians in scheduling surgery for their patients.
  • To assist physician in maintaining their schedules in the Outlook Calendar.
  • To assist with scheduling meetings for physicians as directed.
  • To enter scheduling information into Practice Management System and Outlook, message and communicate with patients via Luma.
  • Ensure surgical consents are filed in EHR when surgery scheduled.
  • Ensure appropriate clinic process followed for Workers’ Compensation per office protocol.
  • Obtaining insurance authorizations for surgical procedures and pre-certifications.
  • Ensure the procedural facility relationships are maintained and the facility receives all information necessary.
  • Compliance:
  • Recognizes and complies with legal regulatory, accrediting and procedural requirements related to area of responsibility
  • Protects patient and team member privacy and only accesses patient and/or team member related information as needed to perform job duties
  • Reports violations or areas of concern to supervisor or Corporate Compliance Officer via established methods of communication.

POSITION SPECIFICATION

Position/Title: Surgery Scheduler

Educational Requirements: A high school degree with additional formal training or education in scheduling and bookkeeping is preferred.

Prior Work Experience: A minimum of two years of experience is preferred and previous employment involving customer service is necessary.

Special Knowledge or Skills: The following special skills or areas of expertise are required of this position.

  • Demonstrated ability/experience in the areas listed below:
  • Ability to work and communicate effectively with patients, physicians, management, staff, and public including other clinic and facility staff
  • Ability to simultaneously manage multiple tasks, establish priorities and coordinate work activities
  • Scheduling of surgeries and clinic appointments
  • Answering/making phone calls
  • Application and use of: Telephone systems
  • Computer Knowledge
  • Knowledge/experience in the health care industry regarding: All health insurance plans including Medicare and Medicaid
