Location: 425 Paul Road, Rochester, NY 14624

Department: Human Resources
Employment Type: Full Time - 40 Hours Weekly
Starting Wage: $23 - $25 per hour

Your Core Responsibilities:

Onboarding Process Coordination:

  • Maintain accurate status updates in the Applicant Tracking System (ATS) throughout the onboarding process.
  • Establish onboarding accounts and send instructional welcome emails within 24 hours of new hire assignment.
  • Ensure all hiring paperwork is submitted by new hires.
  • Contact new hires within 24 hours of assignment to initiate the onboarding process and establish a supportive relationship as their main point of contact throughout the onboarding process.
  • Send TB screening authorization to the lab and track clearance status.

Compliance & Background Checks:

  • Initiate and complete the required background checks (for example: MHL, Fingerprinting, SCR and MetroData when applicable) within 24 hours of assignment.
  • Conduct additional screenings as needed and escalate concerns to the Director of Talent Acquisition.
  • Monitor and update the CBC database within 14 days of hire date, post-confirmation of new hire orientation attendance.
  • Track and follow up on TB screening documentation and liaise with providers when necessary.

Documentation & Records Management:

  • Ensure all hiring documentation is submitted to the Director of Talent Acquisition by the Wednesday prior to New Employee Orientation.
  • Verify I-9 identification and complete timeclock setup at New Employee Orientation (arrive 15 minutes early).
  • Maintain accurate records of required document completion and address any discrepancies or missing documentation.

Communication & Collaboration:

  • Serve as the primary point of contact for new hires throughout the onboarding process.
  • Collaborate closely with recruiters and the Director of Talent Acquisition to identify and resolve any onboarding delays or compliance issues.
  • Notify appropriate personnel when onboarding requirements are not met by the deadline.

Performance & Reporting:

  • Meet onboarding targets and key performance indicators on a weekly, monthly, and quarterly basis.
  • Provide regular updates and communicate any barriers to meeting onboarding objectives.

What You Bring:

  • Experience with HR systems, ATS platforms, and digital documentation preferred.
  • Prior experience in onboarding, HR, or administrative coordination preferred.
  • Must have reliable transportation.
  • Must pass all required background checks and clearances (e.g., SCR, Fingerprinting, SEL, MHL).
  • Excellent communication and customer service skills.
  • Detail-oriented with strong organizational and time management abilities.
  • Ability to work independently and as part of a collaborative HR team.
  • Strong computer proficiency, including Microsoft Office and video conferencing platforms.
  • Familiarity with HR documentation standards and hiring compliance protocols.
