JOB SUMMARY

The Billing Clerk is responsible for preparing, reviewing, and processing customer invoices in an accurate and timely manner. This role ensures all billing data is complete and consistent with company policies and contract terms. The Billing Clerk works closely with operations, sales, and accounting teams to resolve discrepancies, maintain billing records, and support month-end closing activities.

ESSENTIAL FUNCTIONS:

  • Comply with Eco Material Safety Policies and Procedures
  • Prepare, review and process invoices, corrections, and adjustments accurately and on a timely basis using shipping manifests and other supporting documentation.
  • Verify billing data and ensure compliance with company policies, contracts, and pricing agreements.
  • Research and resolve billing discrepancies or customer inquiries promptly.
  • Maintain organized billing records and supporting documentation.
  • Collaborate closely with shipping, customer service, and plant personnel to resolve billing discrepancies and ensure timely invoicing.
  • Post payments, adjustments, and credits to customer accounts as needed.
  • Assist with month-end and year-end closing processes, including reconciliations and reporting.
  • Monitor aging reports and assist with collections or follow-up on outstanding invoices.
  • Support internal and external audits by providing billing documentation or explanations.
  • Identify opportunities to improve billing processes and increase efficiency.
  • Process invoices, corrections, and daily basis using shipping manifest
  • Generate and distribute monthly reporting packages for assigned Utility locations.
  • Regular attendance, timeliness and scheduling flexibility

KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of accounting principles

  • Provide excellent customer service
  • Proficient MS Excel and other MS Office applications
  • Experience with ERP systems (ie. Oracle)
  • Excellent math, organizational, time management skills
  • Ability to work collaboratively and independently as needed

EDUCATION AND/OR EXPERIENCE

The employee should have the following:

  • High School Diploma or equivalent
  • 3-5 years’ experience in a relevant field
  • Experience using Oracle, SAP or other ERP system a plus.

ESSENTIAL PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

The employee should possess the ability to:

  • Be exposed to sounds or noise levels that maybe uncomfortable
    • Withstand exposure to temperature extremes inside or out
    • Prolong standing or in stationary position
    • Complete repetitive movements
    • Bend and/or twist
    • Lift/move/transport items up to 15 pounds
    • Ability to move or traverse about the facilities
    • Ability to work around dust, chemicals, and other substances, and in various environmental conditions
  • Wear all required personal protective equipment (hearing, vision and hardhat protection)

RESUMEN DE TRABAJO

El Empleado de facturación compila datos y prepara facturas realizando las siguientes tareas.

FUNCIONES ESENCIALES:

  • Cumplir con las políticas y procedimientos de seguridad de Eco Material
  • Asistencia regular, puntualidad y flexibilidad de horarios
  • Procesar facturas, correcciones y paquetes de informes mensuales
  • Reportar servicios públicos
  • Trabaja en estrecha colaboración con TSR, gerentes de planta, contactos de servicios públicos, clientes y la división de transporte
  • Tener una asistencia regular, puntualidad y flexibilidad de horario

CONOCIMIENTOS, HABILIDADES Y CAPACIDADES

  • Comprensión básica de matemáticas, principios de contabilidad
  • Atención al detalle y precisión
  • Capacidad para resolver problemas y comunicarse con claridad
  • Proporcionar un excelente servicio al cliente
  • Competente en MS Office (especialmente Excel)
  • Excelentes capacidades en matemática, organización, gestión del tiempo y comunicación

EDUCACIÓN Y/O EXPERIENCIA

El empleado debe tener lo siguiente:

  • Diploma de Secundaria o equivalente
  • No se requiere experiencia o entrenamiento

REQUISITOS FÍSICOS ESENCIALES/ENTORNO DE TRABAJO

El empleado debe poseer la capacidad de:

  • Exponerse a sonidos o niveles de ruido que pueden ser incómodos
    • Resistir la exposición a temperaturas extremas internas o externas
    • Permanecer de pie por mucho tiempo o en posición estacionaria
    • Completar movimientos repetitivos
    • Inclinarse y/o girar
    • Levantar/mover/transportar artículos de hasta 15 libras
    • Capacidad para moverse o recorrer las instalaciones
    • Capacidad para trabajar alrededor del polvo, productos químicos y otras sustancias, y en diversas condiciones ambientales
  • Usar todo el equipo de protección personal requerido (protección auditiva, visual y casco)
