Job Overview
We are seeking a reliable and detail-oriented Administrative Assistant to support the daily operations of our office. This position is ideal for someone who enjoys organization, customer service, and working in a small business environment where no two days are exactly the same.
The Administrative Assistant will serve as one of the first points of contact for customers while also providing essential support with office administration and basic bookkeeping tasks. The responsibilities of this role will expand over time as the employee becomes familiar with our business operations and receives additional training.
Responsibilities
- Answer incoming phone calls and assist customers professionally and courteously
- Open and manage customer service tickets within the company's tracking system
- Receive, sort, and distribute incoming mail
- Open and organize mail and assist with processing related paperwork
- Monitor office supply inventory and place orders when supplies need replenishment
- Enter expense receipts and related information into the accounting system
- Prepare and make electronic bank deposits
- Maintain accurate records and ensure information is entered correctly
- Assist with general administrative tasks and special projects as needed
- Take on additional responsibilities as training is provided and business needs evolve
Qualifications
- High school diploma or equivalent required
- Previous administrative or customer service experience is preferred but not required
- Strong attention to detail and organizational skills
- Basic math skills and comfort working with numbers
- Ability to handle confidential information with professionalism and discretion
- Proficiency with computers and willingness to learn new software systems
- Strong verbal and written communication skills
- Ability to prioritize tasks and manage time effectively
- Dependable, self-motivated, and able to work independently
- Positive attitude and willingness to learn and grow within the role
