Job SummaryWe are seeking a motivated and outgoing Administrative Assistant to join our team! This position plays a key role in ensuring our office runs smoothly and efficiently. You will provide essential administrative and scheduling support to both office staff and field technicians, helping the company deliver outstanding service every day.
Responsibilities
- Answer and route incoming phone calls professionally.
- Handle customer inquiries courteously and effectively.
- Schedule and coordinate service calls, ensuring efficient technician scheduling.
- Dispatch technicians and track job progress throughout the day.
- Review technician reports, complete service worksheets, and prepare job billing.
- Perform general office duties including filing, data entry, and record keeping.
- Assist with scheduling appointments, maintaining calendars, and organizing meetings.
- Prepare and distribute emails, memos, letters, and company correspondence.
- Take accurate meeting minutes and contribute to company reports.
- Maintain organized electronic and paper filing systems.
- Support management and field staff to ensure smooth daily operations.
- Develop, update, and maintain office procedures as needed.
Qualifications
- HHigh school diploma or GED required; Associate’s degree or administrative training preferred.
- Previous experience as an Administrative Assistant or in a similar role.
- Strong computer skills, including proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Excellent written and verbal communication skills.
- Highly organized, detail-oriented, and able to manage multiple priorities effectively.
- Professional, friendly, and dependable demeanor.
- Familiarity with standard office equipment (printer, scanner, fax, etc.).
