Position Overview:
We are seeking a detail-oriented and proactive Administrative Assistant to support our leasing and operations teams. The ideal candidate will play a key role in ensuring efficient office operations, assisting in customer relations, and maintaining organized records. Key Responsibilities:

  • Administrative Support:

    • Provide general administrative support to the leasing and property management teams.
    • Manage correspondence, including emails, phone calls, and mail.
    • Schedule and coordinate meetings, appointments, and property viewings.
    • Maintain and organize physical and digital filing systems.
  • Tenant Relations:

    • Assist in onboarding new tenants by preparing lease agreements and welcome packets.
    • Respond to tenant inquiries and requests efficiently and professionally.
    • Coordinate maintenance requests and follow up with service providers.
  • Record Keeping:

    • Assist in maintaining accurate and up-to-date records of lease agreements, tenant information, and property details.
    • Prepare and track invoices, payments, and financial documentation.
    • Generate reports related to leasing activity, property maintenance, and tenant interactions as needed.
  • Office Management:

    • Order and manage office supplies and ensure common areas are well-maintained.
    • Assist in the implementation of office procedures and policies to enhance efficiency.
    • Collaborate with team members to support various projects and initiatives.

Qualifications:

  • High school diploma or equivalent; associate’s or bachelor’s degree in business administration or related field preferred.
  • Proven experience in an administrative role, preferably in real estate, property management, or leasing.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with property management software is a plus.
  • A team player with a positive attitude and willingness to learn.
