Concrete Collaborative is a design-driven concrete and terrazzo manufacturer at the intersection of architecture, interiors, and material innovation. Our Oceanside headquarters is a fast-paced hybrid environment — part showroom, part operations hub — supporting high-end residential, hospitality, and commercial projects nationwide. We are seeking a proactive, highly organized Administrative Coordinator to support financial operations and day-to-day administrative functions. This full-time role combines accurate bookkeeping with supply ordering, vendor coordination, logistics for incoming supplies, and general office administration. The ideal candidate is detail-oriented, reliable, and comfortable managing both financial records and operational support tasks in a collaborative environment.
This is a full-time, on-site position at our Oceanside Showroom. Standard business hours with occasional flexibility as needed.
Key Responsibilities
· Perform timely and accurate monthly bank reconciliations across all company accounts.
· Maintain day-to-day bookkeeping records in the ERP/accounting system.
· Process vendor bills and invoices with a high degree of accuracy.
· Reconcile credit card transactions.
· Prepare monthly sales tax returns.
· Handle banking activities including deposits, transfers, ACH/wire payments.
· Assist with new vendor onboarding and credit applications.
· Monitor commissions reports and recurring payments.
· Manage ordering of supplies, materials, and operational needs (office, warehouse, and production-related).
· Create and track purchase orders for supplies and coordinate with vendors.
· Schedule and coordinate incoming shipments, track deliveries, and resolve any receiving or logistics issues.
· Maintain organized records for supply orders, vendor communications, and inventory.
What You’ll Bring
· Solid experience in bookkeeping and bank reconciliations (experience in construction, manufacturing, or materials industry is a strong plus).
· Experience with supply ordering, purchase order management, and vendor coordination is highly valued.
· High level of accuracy, strong attention to detail, and excellent organizational skills.
· Proficiency with accounting/ERP software (QuickBooks, Xero, or similar) and comfort working with spreadsheets and inventory systems.
· Ability to manage multiple priorities in a fast-paced environment.
· Clear written and verbal communication skills.
· Positive, collaborative attitude and willingness to learn our specialized product line.
