USAging Overview
USAging is the national association representing and supporting the network of Area Agencies on Aging and advocating for the Title VI Native American Aging Programs. Our members help older adults and people with disabilities throughout the United States live with optimal health, well-being, independence and dignity in their homes and communities while supporting their critical caregivers.
Our members develop, coordinate and deliver a wide range of home and community-based services, including information and referral/assistance, case management, home-delivered and congregate meals, in-home services, caregiver supports, transportation, evidence-based health and wellness programs, long-term care ombudsman programs and more.
USAging is dedicated to supporting the success of our members in supporting the nation’s growing population of older adults, people with disabilities and caregivers through advancing public policy, sparking innovation, strengthening the capacity of our members, raising their visibility and working to drive excellence in the fields of aging and home and community-based services.
Position Overview
The Manager, Events and Education is a key supportive position in USAging. This position will play a leadership role in coordinating USAging’s major conferences, meetings and special events including: Annual Conference and Tradeshow (attendance 1,400+); Aging Policy Briefing (attendance 150+); Leadership Institute (attendance 40+); multiple annual Board Meetings (attendance 50+) and briefings and educational forums.

Duties and Responsibilities
General (5 percent)
· Explore new educational ideas and formats and initiate as directed
· Maintain organization-wide events calendar of internal and external partners; responsible for executing internal meeting requests, including virtual meetings.
· Work with staff to develop a calendar of educational training and webinars/online training sessions for external partners.
· Build, maintain and manage internal and external business relationships to provide a team approach to the successful planning and implementation of all events.
Conference and Tradeshow (Summer) (60 percent)
· Serve as the USAging internal lead liaison with the organization’s conference management company to develop and track workplan, timelines and logistics related to the Annual Conference and Tradeshow.
· Assist with selection of conference venue location.
· Serve as the point person on the internal implementation of the Annual Conference workplan including the Call for Sessions process, conference agenda development, session placement, tradeshow/sponsorship, general session speaker coordination, registration, marketing/branding, materials and other logistics to ensure strategic objectives are met.
· Provide support to the USAging Board Conference Committee and local host group on educational content and event format/logistics.
· Serve as the logistical and facility lead for the USAging internal ancillary events during the conference.
· Manage materials shipping for USAging programs and communications materials.
· Other duties as assigned.
· Note: the Annual Conference and Tradeshow takes place over six days at a location other than Washington D.C. Travel required.
Aging Policy Briefing (Spring) (15 percent)
Leadership Institute (Fall) (10 percent)
Board of Directors Meetings (2-3/year) (10 percent)
· Assist with selection of event venue locations including but not limited to contract negotiations; event logistics; event communications; and marketing materials distribution.
· Serve as the logistical and facility lead for the event, to include management of: room block/reservations, food and beverage, equipment and room set-up, audio/visual requirements, on-site registration, materials production and coordination, and other items as needed.
· Work with Chief Financial Officer and key staff to develop event budgets.
· Create summary reports outlining how data gathered can be used to develop successful future events.
· Other duties as assigned.
· Note: These meetings take place in the Washington D.C. area.
· Bachelor’s degree required plus at least three years’ relevant experience in hospitality, meeting and event planning, or non-profit, membership association management.
· Direct work experience coordinating and assisting with complex events and meetings in a mid-sized or large organization.
· Strong project management skills including the ability to organize and prioritize and handle multiple tasks to meet multiple competing deadlines.
· Strong business acumen and financial negotiation skills, and experience in contract negotiations with national hotels and vendors.
· Excellent oral, written, and interpersonal skills with demonstrated ability to work as a part of an internal team and with external partners and stakeholders, and to communicate the most relevant information to leadership.
· Ability to diagnose problems quickly and foresee potential issues, and a strong solutions orientation.
· Excellent skills with Microsoft Office, particularly Word, Excel and PowerPoint; Experience with CRM platforms a plus.
· Must have an all-hands-on-deck attitude and a willingness to pitch in when needed.
· Ability to withstand 10-12 hour days during events and lift objects up to 20 lbs.
· Ability to travel to locations outside of the Washington, D.C. area including overnight.
· Passion for USAging’s mission of helping older adults age in place and maintain their health and independence for as long as possible.
Work Hours and Location
This full-time position is based in USAging’s Washington, D.C. office (two days/week in-office). The successful candidate will be able to attend all events they are responsible for, as well as related site and planning visits.
