Job DescriptionDescription:

The Accounting Specialist plays a vital role in supporting the financial operations of the Fire Department Special District. This position is responsible for performing a variety of accounting tasks, including accounts payable/receivable, payroll processing, financial reporting, and budget tracking. The ideal candidate is detail-oriented, organized, and experienced in public sector accounting.


Essential Job Functions

  • Process invoices, payments, and receipts; reconcile accounts; and ensure timely payments
  • Maintain accurate records of financial transactions, including general ledger, subsidiary ledgers, and other accounting records
  • Prepare monthly, quarterly, and annual financial statements, budgets, and reports
  • Assist in the preparation and monitoring of the district's annual budget
  • Ensure adherence to accounting principles, state and federal regulations, and internal control procedures
  • Process and maintain accounts payable and receivable records
  • Prepare and process bi-weekly payroll, including benefits and deductions
  • Reconcile bank statements and general ledger accounts
  • Support budget preparation and monitor expenditure
  • Assist with internal and external audits, providing information and documentation as needed
  • Collaborate with department heads to ensure proper financial documentation and reporting
  • Serves as the liaison for assigned boards, committees, and projects, preparing agendas and meeting minutes.
  • Monitors capital asset inventory and reconciliation analysis; identifies and coordinates activities to maximize efficiency.
  • Maintains organized fires, records, and correspondence to support accounting operations.
  • May perform other duties as assigned, such as researching capital purchases, acting as a liaison with vendors, or providing assistance to other departments
  • Attends and presents at monthly board meetings.

Requirements:

  • Associate’s degree in Accounting, Finance, or related field (Bachelor’s preferred)
  • 2+ years of accounting experience, preferably in a government or special district setting
  • Knowledge of GAAP and fund accounting principles
  • Proficiency in accounting software (e.g., QuickBooks, Tyler Technologies, or similar)
  • Strong Excel and Microsoft Office skills
  • Excellent attention to detail and organizational skills
  • Ability to maintain confidentiality and handle sensitive information
  • Any combination of education, training, and experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job

Preferred Qualifications

  • Experience with public sector finance
  • Familiarity with fire district operations and funding sources
