The Accounting Specialist plays a vital role in supporting the financial operations of the Fire Department Special District. This position is responsible for performing a variety of accounting tasks, including accounts payable/receivable, payroll processing, financial reporting, and budget tracking. The ideal candidate is detail-oriented, organized, and experienced in public sector accounting.
Essential Job Functions
- Process invoices, payments, and receipts; reconcile accounts; and ensure timely payments
- Maintain accurate records of financial transactions, including general ledger, subsidiary ledgers, and other accounting records
- Prepare monthly, quarterly, and annual financial statements, budgets, and reports
- Assist in the preparation and monitoring of the district's annual budget
- Ensure adherence to accounting principles, state and federal regulations, and internal control procedures
- Process and maintain accounts payable and receivable records
- Prepare and process bi-weekly payroll, including benefits and deductions
- Reconcile bank statements and general ledger accounts
- Support budget preparation and monitor expenditure
- Assist with internal and external audits, providing information and documentation as needed
- Collaborate with department heads to ensure proper financial documentation and reporting
- Serves as the liaison for assigned boards, committees, and projects, preparing agendas and meeting minutes.
- Monitors capital asset inventory and reconciliation analysis; identifies and coordinates activities to maximize efficiency.
- Maintains organized fires, records, and correspondence to support accounting operations.
- May perform other duties as assigned, such as researching capital purchases, acting as a liaison with vendors, or providing assistance to other departments
- Attends and presents at monthly board meetings.
Requirements:
- Associate’s degree in Accounting, Finance, or related field (Bachelor’s preferred)
- 2+ years of accounting experience, preferably in a government or special district setting
- Knowledge of GAAP and fund accounting principles
- Proficiency in accounting software (e.g., QuickBooks, Tyler Technologies, or similar)
- Strong Excel and Microsoft Office skills
- Excellent attention to detail and organizational skills
- Ability to maintain confidentiality and handle sensitive information
- Any combination of education, training, and experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job
Preferred Qualifications
- Experience with public sector finance
- Familiarity with fire district operations and funding sources
