The Fleet Compliance and Safety Manager is responsible for overseeing and ensuring compliance with all Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), Occupational Safety and Health Administration (OSHA), and state regulatory requirements across the company’s fleet operations and related facilities. With approximately 500 fleet assets operating in 12 states, this role will lead the development, implementation, and management of programs to maintain the highest standards of safety, compliance, and operational excellence. The Fleet Compliance and Safety Manager will work closely with Operations to mitigate risk, improve processes, and support safe and compliant transportation and facility activities across all 50 locations.
RESPONSIBILITIES
- Monitor, interpret, and implement DOT, FMCSA, OSHA, and state transportation and safety regulations, ensuring ongoing compliance.
- Maintain company DOT, FMCSA, and other regulatory registrations, permits, and records.
- Oversee driver qualification files, drug and alcohol testing programs, medical certifications, hours of service (HOS) compliance, and ELD administration.
- Ensure vehicle inspection, maintenance, and repair records are accurate and compliant.
- Conduct audits of driver logs, vehicle inspections, and maintenance records; implement corrective action plans as needed.
- Lead training and awareness programs for drivers, managers, and staff on DOT, OSHA, and fleet safety requirements and best practices.
- Conduct regular facility safety inspections to identify potential hazards, non-compliance issues, and maintenance needs.
- Document and report facility inspection findings and ensure timely follow-up on corrective actions to maintain compliance and prevent recurrence.
- Support local management in maintaining compliance with preventive maintenance schedules, DVIR requirements, and facility safety standards.
- Investigate compliance or safety-related incidents and develop strategies to prevent recurrence.
- Provide guidance and subject matter expertise to local and regional management on fleet and facility safety requirements.
- Manage compliance reporting, including CSA scores, audit results, inspection findings, and trend analysis for leadership.
- Serve as the company liaison during DOT, OSHA, or state compliance reviews, audits, and inspections.
- Collaborate with Legal, HR, Safety, and Operations to resolve compliance and safety matters.
REQUIREMENTS
- Bachelor’s degree in Business, Transportation Management, Safety, or related field preferred; equivalent experience considered.
- Minimum 2+ years of DOT/Fleet compliance experience with a large fleet; multi-state and multi-DOT number experience strongly preferred.
- Strong knowledge of FMCSA and DOT regulations, CSA scoring, ELD systems, HOS rules, OSHA basics, and fleet safety best practices.
- Experience conducting facility inspections, DOT audits, driver qualification management, and accident/incident investigations.
- Excellent analytical, organizational, and communication skills.
- Proficiency with compliance software, fleet management systems, and Microsoft Office Suite.
- Demonstrated leadership and ability to influence at all levels of the organization.
- Willingness to travel up to 50% of the time.
