Your Day-to-Day Includes:

  • Welcoming Patients with a Smile: First impressions are everything! Greet each patient with a warm, positive attitude to create an outstanding experience from the start.
  • Managing Appointments: Take charge of scheduling, confirming, and organizing appointments, ensuring a seamless flow for our patients and the Audiological team.
  • Handling Patient Information: Accurately verify patient details and information with care and precision.
  • Collaborating with the Team: Work alongside our talented Audiologists and support staff to ensure each patients experience is first-rate.
  • Supporting the Office: Provide general administrative support to keep our busy practice running smoothly and efficiently.


Patient Care Coordinator Full Job Description:

  • Welcomes patients and visitors in person. Answers patients questions promptly and professionally. Or seek the resource to assist with the answer.
  • Attends to the phone lines and schedules patients. Enter all demographic information. Schedules with appropriate location and provider.
  • Screens calls and sends to appropriate staff members.
  • Verify all appointments are confirmed either by automated systems or manually.
  • Ensure that schedule is filled each day with opportunities.
  • Optimizes patients satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone. Hearing tests, hearing aid consultations, hearing aid checks and cerumen removal.
  • Keeps patient appointments on schedule by getting necessary paperwork scanned in promptly for the provider. i.e audiograms, intakes/questionnaires.
  • Retrieves faxes and assigns to patients.
  • Comforts patients by anticipating patients anxieties, refer questions you dont know to appropriate staff member and maintaining the reception/lobby area.
  • Send out questionnaires and verify each patient has completed at least two weeks advance.
  • Maintains patient accounts by obtaining, recording, and updating demographic information to include email. Email is the means of sending intakes/questionnaires.
  • Making invoices and taking payment for services and products. To include our in house financing of reoccurring charges.
  • Supports the provider in making up dispensing bags and cards.
  • Does inventory of supplies and sends the request to BOM.
  • Protects patients rights by abiding to HIPAA rules by maintaining confidentiality of medical, personal, and financial information. Keep records upside down on front desk when not occupied.
  • Maintains operations by following policies and procedures, reporting needed changes.
  • Contributes to team effort by accomplishing established goals.
    • Duties include coverage at our second location in Waterville as needed.

Reports to Bangor's Office Manager.

Hours are 7:45am- 4:45pm with an hour lunch.
