Overview

Bizzy Coffee is looking for a Customer Fulfillment Specialist & Office Manager to join our growing team that shares our company's core values. This role will serve as the face of Bizzy Cold Brew while ensuring seamless order entry and operational coordination. This individual plays a critical role in maintaining a welcoming office environment and supporting accurate, timely customer fulfillment. To succeed in this role, you should be highly organized, detail-oriented, and comfortable using order management systems. You should be confident coordinating across teams, managing multiple priorities, and handling administrative and operational tasks in a fast-paced environment.

Responsibilities:


Customer Fulfillment & Logistics


Order Processing: Oversee and execute the end-to-end processing of customer orders, ensuring accuracy in data entry and timely transmission to production or warehouse teams.

3PL Coordination: Act as the main point of contact for our third-party logistics partners. Coordinate shipments, monitor delivery timelines, and troubleshoot any transit or warehouse delays.

Sales Sample Ownership: Fully own the sales sample program. This includes receiving requests, physical packing/shipping of beverage samples, and tracking inventory to ensure the sales team is always equipped to win new business.

Shipping & Receiving: Manage all incoming mail and small-parcel deliveries. Ensure items reach their internal recipients promptly.


Office Manager


● 7am to 4:00pm in office hours required

Reception Leadership: Provide consistent coverage of the front entrance. Greet every guest (vendors, partners, candidates) with a "5-star" professional demeanor and a positive first impression.

Security & Vetting: Enforce the "Appointment-Only" policy. Verify all visitors against the Bizzy Guest calendar, manage the visitor iPad login system, and ensure no unauthorized individuals or solicitors enter the facility.

Communication Hub: Serve as the central contact for office-related inquiries, relaying critical information regarding maintenance, deliveries, or guest arrivals to the relevant staff members.

Morning Readiness: Ensure the office is "show-ready" by 8:00 AM. This includes turning on lights in the Brew Lab, organizing conference rooms (chairs pushed in, trash removed), and stocking fridges.

Kitchen & Breakroom Care: Manage Bizzy’s cleaning service. Keep common areas tidy throughout the day.

Supply & Event Management: Audit and order office supplies weekly. Coordinate catering and meal setup/cleanup for all internal company events or training sessions.

Qualifications


● Strong organizational skills with high attention to detail

● Excellent verbal and written communication skills

● Customer-service mindset with a professional demeanor

● Ability to multitask and manage competing priorities

● Experience with order entry systems and ERPs preferred

● High school diploma or general education degree (GED)

● Bilingual (Spanish/English) must be able to read and write strongly preferred
