Title: Administrative Assistant — Phones & Scheduling (On-site)
Comp: $45,000–$50,000 base (DOE) + Health Insurance + 401(k)
Hours/Location: M–F, 9am–5pm on-site at Boonton, NJ 07005
About the role
Join a tight-knit office (team of 9) that schedules customer appointments and service calls. You’ll be the friendly voice customers meet first, the air-traffic controller for our daily schedule, and the person who keeps email and data tidy.
What you’ll do
- Answer/return calls; route messages; set expectations with customers
- Schedule installations and service calls; update calendar/CRM (we’ll train)
- Send/track emails; confirm appointments; follow up on open items
- Enter notes and basic data accurately (Outlook/Excel/CRM)
- Coordinate with field techs on daily routes and parts needs
- Pitch in on general office tasks (scanning, light paperwork, ordering supplies)
What you’ll bring
- 2+ years office, receptionist, dispatcher, or scheduling experience
- Confident phone and email communication; clear, professional tone
- MS Office basics (Outlook & Excel required)
- Strong attention to detail, follow-through, and time management
- Comfortable working fully on-site (Boonton) Monday–Friday, 9–5
- Nice-to-have: experience with any CRM or service-dispatch tool (we’ll train)
