Job Summary

The Customer Service Representative (CSR) serves as the primary point of contact for customers and internal teams regarding service-related requests. This role is responsible for accurately and timely entering service requests, coordinating required testing and permitting, communicating status updates, and ensuring compliance with all applicable SOPs, permits, and certification requirements. Success in this role requires strong attention to detail, time management, and consistent communication.

Responsibilities

  • Enter all customer service requests received via phone or email within 45 minutes of receipt, following established Standard Operating Procedures (SOPs).
  • Provide customer updates within 5 hours of work orders changing status using the customers preferred communication method (customer portal or email), following applicable SOPs.
  • File like-for-like requests within 3 hours of receiving the request, ensuring accuracy and completeness to the appropriate state agency.
  • Track technician certifications and licensing, including manufacturer certifications and city, county, and state-based licensing requirements, ensuring records remain current and compliant.
  • Review all newly set up jobs daily to determine required permits and file accordingly in compliance with local, city, county, and state requirements.
  • Schedule required testing with the correct vendor within 3 hours of the customer request and notify the customer of the scheduled date as soon as it is confirmed.
  • Answer incoming phone calls in accordance with the Phone SOP, maintaining a professional and customer-focused approach. Keeping a small company feel to each call.

Requirements

  • Previous customer service or administrative experience preferred
  • Excellent verbal and written communication skills
  • Proficiency with customer service systems, portals, and email communication
  • Ability to follow established processes and SOPs consistently
  • High attention to detail and ability to manage multiple priorities
  • Strong organizational and time-management skills
