Title: Executive Office Administrator
Work Schedule: Part-time, hourly. To be scheduled generally Monday-Friday, (20-30
hours/week) with occasional weekend responsibilities for training and special events.
Reports to: President/CEO
Salary Range: This is a part-time, non-exempt position with an hourly wage range of: $30-
35 per hour, commensurate with experience and qualifications.
BGCSC is seeking a highly organized, proactive, and mission-aligned Executive O􀆯ice
Administrator who thrives in a fast-paced nonprofit environment. This individual will serve
as a trusted partner to the President/CEO while ensuring smooth and efficient office
operations across the organization. The ideal candidate is detail-oriented, resourceful, and
flexible — someone who brings professionalism, discretion, and strong communication
skills while supporting organizational growth and transparency across departments.
Primary Function
This dynamic, multifunctional role provides executive-level administrative support and
oversees daily o􀆯ice operations. The Executive O􀆯ice Administrator ensures strong internal
coordination, streamlined workflow, and high-level support for leadership and strategic
initiatives that advance BGCSC’s mission.
Key Responsibilities
Executive Support
- Serve as primary administrative partner to the President/CEO
- Manage CEO calendar, schedule meetings, and prepare agendas/materials
- Draft and edit correspondence, reports, presentations, and communications
- Prioritize incoming requests and track key action items
- Support strategic initiatives and follow-up tasks
- Provide additional administrative support as assigned
Office Management Operations
- Oversee day-to-day office workflow
- Monitor supplies, equipment, and facility needs
- Manage vendor relationships and service requests
- Support policy compliance and record-keeping procedures
Administrative & Organizational Support
- Maintain digital and physical filing systems
- Process communications, data entry, and documentation
- Support finance/admin functions (mail, invoices, scanning, documentation)
- Serve as the central point of contact for staff and external partners
- Compile reports, dashboards, and organizational documentation
Project & Special Initiative Support
- Assist with cross-department projects and special initiatives
- Coordinate logistics for meetings, trainings, and community events
- Track timelines, deliverables, and action lists
Qualifications
Minimum Requirements
- High school diploma or equivalent (Associate’s degree or higher preferred)
- Minimum 2 years of administrative or o􀆯ice management experience
- Experience supporting executive leadership preferred
- Strong proficiency in Google Workspace or Microsoft O􀆯ice 365
- Excellent organizational, communication, and multitasking skills
- Ability to handle confidential information with discretion
- Strong interpersonal skills and the ability to work independently
- Must have reliable transportation and the ability to travel between Club sites and community locations as needed
Highly Desirable
- Experience in a nonprofit or youth-serving organization
- Experience working with Boards of Directors
- Familiarity with project management tools and CRM systems
- Bilingual (English/Spanish)
- Passion for youth development, equity, and community impact
Compensation & Benefits
- Hourly Rate: $30-$35 per hour (commensurate with experience)
