About Us:
We are a wellness-focused medical clinic specializing in joint injections, hormone therapy, weight loss, and regenerative medicine. We are passionate about helping our patients feel and function at their best through non-invasive, customized care. We’re seeking a highly organized and personable Front Office Coordinator to join our team and be the welcoming face of our clinic. This is one day a week on Thursdays that will cover for our other coordinator when she is out. Possibility to expand to Fridays.
Position Summary:
The Front Office Assistant plays a vital role in delivering an exceptional patient experience. This individual is responsible for managing daily front desk operations including answering phones, scheduling appointments, checking patients in and out, taking payments, and assisting with general patient inquiries. A successful candidate will have prior medical office experience and a calm, confident demeanor, especially when working with demanding or high-maintenance patients.
Key Responsibilities:
- Answer incoming calls promptly and professionally
- Schedule, reschedule, and confirm patient appointments
- Greet patients warmly and check them in and out efficiently
- Collect and process payments at the time of service
- Maintain up-to-date knowledge of clinic services and protocols
- Respond to patient questions in person, by phone, and via email
- Handle patient concerns with empathy while maintaining clinic policies
- Communicate effectively with clinical staff regarding scheduling and patient flow
- Maintain a tidy and welcoming front office environment while running the clinic on time
- Assist with basic administrative duties as needed
- Be able to communicate all the services we offer when patients call and inquire
- Ability to sell packages and products
Qualifications:
- Minimum 1–2 years of experience in a medical office or clinic setting (required)
- Excellent customer service and communication skills
- Strong multitasking and time management abilities
- Experience with EMR/EHR systems and scheduling software
- Ability to remain calm and professional under pressure
- Skilled at setting boundaries and handling pushy or upset patients with tact
- Reliable, punctual, and team-oriented
Preferred Skills:
- Familiarity with wellness services such as hormone replacement therapy, joint injections, or IV therapy
- Bilingual (English/Spanish) is a plus
- Knowledge of HIPAA regulations
