Job Title: Administrative Assistant Home Health & Hospice
Location: Missoula, MT (with travel to Ronan, MT)
Job Type: Full-Time
Schedule: Day shift | MondayFriday | Regular travel required
About the Role:
Part of our dynamic Home Health and Hospice team, the Administrative Assistant plays a vital role in supporting operations across both our Missoula and Ronan branches. This position reports directly to the Director of Clinical Services and is responsible for essential administrative and supply chain functions that help ensure seamless patient care.
While based in Missoula, regular travel to Ronan is required to support operations, manage supply delivery, and maintain strong communication between both locations.
Key Responsibilities:
Administrative Support (Missoula & Ronan):
- Maintain a strong administrative presence in Missoula.
- Provide remote and on-site support for Ronan branch operations.
Supply & Inventory Coordination:
- Manage clinical and office supply inventory for both branches.
- Oversee central supply stock in Missoula, including wound care and durable medical equipment (DME).
- Track usage trends and anticipate supply needs.
- Collaborate with clinical managers and the Wound Care Specialist RN for ordering and delivery of specialty supplies.
Shipping & Logistics:
- Coordinate timely transportation of supplies and equipment between Missoula and Ronan.
- Work with couriers and transport services to ensure delivery accuracy.
Data Entry & Reporting:
- Maintain records of supply usage, workflows, and inventory reports.
- Prepare daily and weekly operational reports.
Electronic Medical Records (EMR):
- Provide support for intake referrals, patient scheduling, and communication in EMR systems.
General Office Duties:
- Handle scanning, faxing, copying, filing, and communication routing for field and office staff.
Meetings & Events:
- Attend team meetings and support quality improvement activities.
- Help coordinate meetings, skills fairs, or educational sessions.
Customer Service:
- Serve as a key point of contact for internal staff, patients, and vendors.
- Maintain timely and professional communication with all stakeholders.
Facilities & Vendor Communication:
- Coordinate with vendors, building maintenance, and housekeeping as needed.
Cross-Training & Coverage:
- Cross-train with other administrative assistants for vacation or absence coverage.
Travel:
- Travel to Ronan multiple times per week (or as needed) for operational support and supply delivery.
Other Duties as Assigned:
- May include temporary support for scheduling, patient coordination, or special projects.
What Were Looking For:
- 12 years of administrative or supply coordination experience (required)
- Experience in healthcare or knowledge of medical terminology (preferred)
- Strong proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
- Highly organized, proactive, and able to manage multiple tasks
- Strong communication and interpersonal skills
- Reliable transportation and valid drivers license required
