Job DescriptionHearing Associates of Northern Virginia is a patient-centered audiology practice dedicated to delivering exceptional hearing healthcare. As the practice continues to grow, they are seeking a strong operational leader to ensure the business side runs smoothly—allowing their providers to focus fully on patient care.

Position Overview:
The Practice Administrator serves as the operational leader of the practice, responsible for overseeing all day-to-day business functions, team management, and coordination across both clinical and administrative staff.

This role is ideal for someone who thrives in a hands-on leadership position and has experience managing healthcare or medical practice. The Practice Administrator will take ownership of the non-clinical side of the business—ensuring systems, staff, and processes run seamlessly so providers can focus on delivering high-quality patient care.

What They're Looking For:

  • 5+ years of experience managing operations within a medical, healthcare, or clinical practice (required)
  • Proven experience leading and managing staff in a fast-paced environment
  • Strong understanding of front office workflows, scheduling, and patient coordination
  • Experience with billing, insurance, and revenue cycle processes preferred
  • Experience working closely with providers or clinical staff in a healthcare setting
  • Confident decision-maker who can take ownership of day-to-day operations
  • Highly organized with the ability to manage multiple priorities and improve workflows

Key Responsibilities:
Practice Operations & Workflow Management

  • Oversee daily operations across front office, clinical support, and administrative functions
  • Identify inefficiencies and implement process improvements to enhance patient flow and staff productivity
  • Maintain consistency in scheduling, patient experience, and internal procedures
  • Provide hands-on support when needed to ensure operational continuity


Team Leadership & Staff Management

  • Manage and support all team members, including both administrative staff and providers, from an operational standpoint
  • Lead hiring, onboarding, training, and performance management for administrative staff
  • Foster a positive, accountable, and team-oriented work environment
  • Address performance issues and implement corrective actions as appropriate


Business Operations Oversight

  • Oversee scheduling efficiency, patient throughput, and office productivity
  • Monitor billing, collections, and insurance workflows
  • Ensure accurate and timely handling of patient accounts and administrative processes
  • Coordinate with vendors and service providers


Performance Monitoring & Continuous Improvement

  • Track key operational metrics such as scheduling efficiency, patient volume, and revenue cycle performance
  • Identify trends and recommend improvements to enhance overall practice performance
  • Work with ownership to implement operational changes that improve efficiency and patient experience


Owner Support & Practice Coordination

  • Serve as the primary operational partner to the Owners
  • Take ownership of day-to-day business functions to reduce administrative burden on providers
  • Communicate regularly with the Owners on operational performance, challenges, and opportunities
  • Execute on priorities set by ownership to ensure alignment and progress


Compliance & Administrative Oversight

  • Ensure compliance with HIPAA, OSHA, and general healthcare regulations
  • Maintain organized documentation and operational standards
