Job Title: Administrative Regulations Aide
Location: Onsite | Full-Time | Monday–Friday
Schedule: 35 hours per week
Position Summary:
A government health agency is seeking an Administrative Regulations Aide to support its Center for Health Facilities Regulation. This administrative role assists with professional licensing processes, public inquiries, and regulatory documentation. Candidates should be detail-oriented, professional, and customer-service driven, with a strong grasp of office systems and compliance protocols.
Key Responsibilities:
· Review and process applications for licensure in health-related professions
· Prepare correspondence and respond to inquiries from licensees, attorneys, and government agencies
· Maintain confidential case files, including investigatory and licensing documents
· Receive, verify, and process licensing fees and documentation
· Provide clear and courteous customer service by phone, email, and in person
· Explain regulatory laws and licensure requirements to applicants and the public
· Assist in proctoring and coordinating licensure exams
· Prepare licenses, reports, spreadsheets, and other official documents
· Help develop and edit forms, rules, and regulations
· Support office purchasing and recordkeeping
· Train and orient new administrative staff as needed
Required Skills and Qualifications:
· High school diploma or equivalent with coursework in business practices or typing
· Experience in a clerical or paraprofessional role involving document processing and independent judgment
· Proficiency with office software and databases (Microsoft Office Suite, email, etc.)
· Excellent verbal and written communication skills
· Strong organizational skills and attention to detail
· Ability to work independently and maintain confidentiality
· Capable of interacting professionally with the public and handling sensitive materials
· Comfortable interpreting and applying regulatory laws and procedures
Preferred Qualifications:
· Familiarity with health licensing regulations and reciprocal licensing agreements
· Experience working in a regulatory or government setting
