Schedule / Expected Work Hours:
- 21 hours per week in the office; flexible/remote available the remainder
- Office located in Malvern, PA, but the territory covers major portions of Montgomery and Chester counties
- On call/after hour responses will be required in the event of an emergency or a caregiver "no show"
Job Summary
- The Scheduler is responsible for effectively and efficiently scheduling caregivers to ensure continuity of care for clients. This role requires strong organizational and communication skills to manage last-minute changes, ensure adequate staffing, and maintain positive relationships with clients and caregivers. Responsibilities
- Coordinate and maintain daily schedules for caregivers based on client care plans and availability
- Communicate assignments and updates to caregivers clearly and promptly
- Ensure all shifts are staffed and coverage is maintained, including responding to callouts and emergencies
- Match caregivers with clients based on skills, preferences, and geographic location
- Maintain up-to-date records in scheduling software and client databases
- Work closely with care coordinators, nurses, and management to address scheduling needs and concerns
- Provide exceptional customer service to clients and caregivers
- Assist with onboarding and orientation of new caregivers as needed
- Assist with weekly payroll processing as needed
- Assist with client billing as needed
Qualifications
- High school diploma or equivalent (Associates degree or higher preferred)
- Previous experience in scheduling, staffing, or administrative coordination (home care or healthcare industry a plus)
- Excellent organizational and time management skills
- Strong verbal and written communication skills
- Ability to handle high-pressure situations and last-minute changes
- Proficient with scheduling software, Customer Relationship Management (CRM) and Microsoft Office applications
- Reliable, flexible, and able to work occasional evenings or weekends if needed
