Logistics Assistant Coordinator
Key Responsibilities
- Assist in entering sales orders and product quotations into the ERP system (e.g., NetSuite) with attention to accuracy.
- Generate and organize shipping documentation, including commercial invoices, packing lists, and Bills of Lading (BOLs).
- Maintain proper archiving of shipping records, HAWBs, and Proof of Delivery (PODs).
- Support the Logistics Coordinator in scheduling and tracking domestic and international shipments.
- Perform initial checks on shipment details to flag potential delays or missing documentation.
- Help monitor cargo readiness status and assist with logistics lead-time tracking.
- Liaise with freight forwarders, couriers, and carriers to obtain rate quotes, book shipments, and confirm pickups.
- Act as a point of contact for internal teams (production, engineering, sales) to relay updates or document requirements.
- Update shipment statuses in ERP and logistics tracking platforms.
- Input tracking numbers, shipment milestones, and delivery confirmations into internal systems.
- Support in preparing logistics KPIs and performance tracking reports.
- Ensure that documentation practices comply with trade regulations and internal procedures.
- Assist in following up on delivery confirmations and compiling customer satisfaction data post-delivery.
- Prepare logistics-related spreadsheets and status updates.
- Help prioritize urgent shipment tasks and escalate as needed.
Qualifications
- Associate’s or Bachelor’s degree in Supply Chain, Business Administration, Logistics, or related field (or equivalent experience).
- 1+ year of experience in a logistics, shipping, or supply chain support role preferred.
- Familiarity with ERP systems (NetSuite is a plus) and logistics platforms.
- Basic understanding of import/export documentation and shipping processes.
- Strong attention to detail and ability to handle multiple priorities.
- Effective communicator and team player with a proactive problem-solving mindset.
- Proficiency in Microsoft Office (Excel, Outlook, Word).
Preferred Attributes
- Experience with international freight and customs procedures.
- Strong organizational and follow-up skills.
- Multilingual capability is a plus, especially Spanish.
