Job Summary
The Health Information Specialist is primarily responsible for efficiently and accurately retrieving, preparing, and scanning all medical records documents in the patient’s EMR per established protocols. The Health Information Specialist will be responsible for the coordination and retrieval of all specialty reports, evaluations, and test results from external organizations. This is a temporary role for no longer than 90 days.

Role Specific Primary Essential Duties:
- Ensure all external medical documents are received, logged, and scanned in the appropriate patient EMR per established protocols.
- Prepares medical records documents for scanning, removing staples, repairing tears, removing duplicates, etc. per established protocols.
- Verify images are correct and legible when scanned in the EMR.
- Ensures each scanned document is assigned to the appropriate patient in the EMR.
- Maintain productivity standards per established protocols.
- Retrieve, open, and distribute department mail.
- Track, follow up, and obtain specialty reports, evaluations, and test results from specialty practices per established protocol, making the supervisory/management team aware of any difficulties receiving requested information from external organizations.
- Monitor, retrieve, and assign documents from the fax server daily per established protocols.
- Responsible for requesting, tracking, scanning, and returning all paper charts from the offsite storage facility per established protocol.
- Provide support for releasing information per signed patient requests as needed.

- Flexibility to work various shifts, including afternoon and evening shifts as necessary.

Role Specific- Knowledge, Skills, and Talents Required:
- Fluency in medical terminology.
- Knowledge of eCW.
- Strong organizational skills.
- Attention to detail.
- Ability to work independently.
- Basic computer skills with working knowledge of EMR software as required to complete job responsibilities.
- Working knowledge of Microsoft Word, Excel, and Outlook.
- Working Knowledge of office equipment including copier, fax machine, scanner, and multi-line phone system.
- Working knowledge of HIPAA, Federal, State, and Local regulations
Education and Experience Required:
- Associate’s degree in a related field and/or equivalent work experience preferred.
- Two (2) years of relevant experience within a medical office, medical records, or healthcare-related field preferred.
- Two (2) years of experience scanning is preferred.
- One (1) year of experience working with a broadly diverse population and the ability to work harmoniously with diverse groups of individuals are required.
- One (1) year of experience working with members of the Lesbian, Gay, Bisexual, Transgender, Gender Expansive, Queer, Asexual, and Intersexed communities preferred.
- One (1) year of experience working with people living with HIV or issues related to HIV care is preferred.
