Position Title: Billing Specialist and Administrative Assistant
Employment Type: Full-Time
Hours: Monday - Thursday, 8:30 AM - 5:00 PM & Friday, 8:30 AM 3:30 PM

We are seeking a detail-oriented Administrative Support Specialistwho will play a vital role in ensuring smooth billing processes and efficient administrative operations.

Key Responsibilities

Billing Responsibilities:

  • Process, monitor, and manage insurance claims and payments.
  • Reconcile accounts, resolve discrepancies, and ensure accurate billing.
  • Maintain up-to-date knowledge of mental health billing practices and insurance requirements.
  • Communicate with insurance companies and clients to address billing inquiries or issues.
  • Utilize billing platforms and software to manage records and generate reports.
  • Assist in preparing and sending out statements to clients.

Administrative and Front Desk Responsibilities:

  • Greet and check in clients, ensuring a welcoming and professional front desk experience.
  • Answer phone calls, schedule appointments, and manage client inquiries.
  • Maintain the cleanliness and organization of the front desk and reception area.
  • Ensure proper documentation and compliance for client files.

General Office Support:

  • Assist with administrative tasks such as data entry, filing, and preparing reports.
  • Manage office supplies and coordinate with vendors as needed.
  • Support other team members with special projects or tasks as required.

Qualifications

Required:

  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Exceptional organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Strong interpersonal and communication skills, both written and verbal.

Preferred:

  • Experience in healthcare billing.
  • Experience with mental health billing platforms and coding (e.g., CPT codes, ICD-10).
  • Familiarity with insurance verification and authorization processes.
  • Prior experience in a front-desk or customer-facing role.

Skills and Competencies

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to multitask and prioritize tasks efficiently.
  • Comfortable working in a fast-paced environment.
