Position Summary
We are a diverse, fast-paced, and growing business law firm in Gwinnett County, Georgia, serving a wide range of clients—from local entrepreneurs and small businesses to established mid-size companies. We are seeking a highly capable and polished Office Manager to oversee the day-to-day operations of the firm and serve as the backbone of administrative efficiency.
This role is ideal for a professional with strong leadership potential who can grow with the firm and eventually develop into a more strategic role, such as Director of Operations or COO.
Key Roles and Responsibilities
Operations & Administration

Manage and coordinate daily office operations to ensure efficiency and consistency across departments.

Oversee office maintenance, vendor relationships, supplies, and inventory.

Maintain compliance with office protocols, regulatory policies, and document retention requirements.

Supervise support staff (receptionist/legal assistant, paralegal, law clerk), ensuring high performance and accountability.

Ensure the firm calendar, court deadlines, and attorney scheduling are managed and up to date.
Client & Front Office Management

Serve as the first point of contact for key client issues related to service, billing, or process.

Ensure the front desk and client-facing areas of the office maintain a professional, welcoming appearance.

Ensure all client communications, from intake to final billing, reflect a high standard of professionalism.
Financial & Billing Oversight

Assist CFO with invoicing, time tracking audits, collections follow-up, and general billing quality control.

Manage vendor invoicing and firm-level expense reporting.
Technology & Systems

Serve as liaison with tech support vendors and software providers (e.g., MyCase, QuickBooks, Microsoft Office Suite).

Identify areas for automation or system improvement and propose solutions to leadership.

Ensure staff are trained and compliant with all software workflows and document templates.
Human Resources Support

Assist with onboarding, offboarding, and training of new hires.

Maintain employee files and manage time-off tracking.

Promote and model a positive, team-oriented, and professional workplace culture.
Firm Leadership & Culture

Participate in weekly leadership meetings and contribute ideas to improve firm performance and culture.

Proactively identify inefficiencies and take ownership of process improvements.

Ensure adherence to the firm's standards of client care, team conduct, and presentation.
Required Qualifications
Education
-
Bachelor’s degree in Business Administration, Legal Studies, or related field preferred.

Equivalent work experience in a law firm or other professional services environment will be considered.
Experience
-
3–5 years of administrative, operations, or management experience in a law firm or similarly demanding professional setting.

Experience supervising support staff strongly preferred.
Hard Skills Required

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

Familiarity with legal practice management software (MyCase or similar).

Strong written and verbal communication skills, including proofreading and document formatting.

Financial literacy sufficient to oversee basic invoicing, budget reports, and vendor billing.

Compensation:
