Statement of General Purpose
The Receptionist provides routine administrative support in Community Centers by handling telephone calls; greeting clients and visitors, and providing directions as needed; preparing, copying, filing, and distributing a variety of documents; maintaining logs and other records; handling mail and faxes; and assisting management as directed and in accordance with standard operating procedures.
Examples of Essential Functions and Responsibilities
- Greets clients and visitors to the facility, and provides guidance and direction.
- Answers telephone calls and routes callers to the appropriate party.
- Prepares a variety of memos, letters, faxes, and other documents using computer or typewriter.
- Photocopies documents as directed; ensures that copy machine is stocked with paper and toner; notifies facility management when service and supplies are required.
- Handles mail and faxes and related communications; sorts, stamps, logs, and ensures delivery to the appropriate person.
- Maintains attendance logs and other records for employees, clients, and program participants.
- Assists in preliminary screening and logging of new eligibility applications.
- Ensures that facility has an adequate supply of required forms and other documents distributed from reception desk.
- Ensures that reception area and lobby are neat, clean, and free from unnecessary or unsafe congestion.
- Performs related work as required.

- Familiarity with general office policies, procedures, and work methods.
- Ability to communicate effectively with employees, clients, program participants, and others in a positive, pleasant, professional, and productive manner by telephone, in writing, and in personal contacts.
- Ability to produce letters, memos, and other documents on a personal computer or typewriter; familiarity with Microsoft Word applications.
Minimum Qualifications
- High school diploma or G.E.D., and
- One (1) related experience in an office environment, or
- Any equivalent combination of acceptable training, education, and experience.
Special Requirements
- This position includes the normal physical demands associated with work in an office environment, including lifting, bending, and carrying.
- This position is subject to the overtime provisions of the Fair Labor Standards Act.
