Summary
We’re hiring a Lead Medical Assistant to manage a team of MAs and drive day-to-day company operations. This desk-based, on-site role blends people leadership with hands-on execution: building protocols and workflows, optimizing EHR processes across multiple systems, and co-developing new projects with the CEO, CTO, and Head of AI to scale efficient, patient-centered care.
What you’ll do
Leadership & Operations
- Lead, schedule, and coach a team of Medical Assistants; provide feedback, 1:1s, and skills development.
- Be available to the Medical Assistants to answer questions.
- Build and maintain standard workflows for eligibility checks, scheduling, prior auths, refills, referrals, and documentation.
- Conduct quality audits (documentation accuracy, turnaround times, compliance) and drive corrective actions.
- Partner with leadership to define KPIs (message turnaround, prior-auth cycle time, denial rate, no-show reduction) and publish dashboards.
Workflow & Process Design
- Design, pilot, and iterate task workflows
- Map current vs. future state protocols
- Develop job aids for the medical assistants to refer back to
- Coordinate cross-functional rollouts (training plans, change logs, success metrics).
Innovation & New Projects (with CEO/CTO/Head of AI)
- Conceptualize and scope new operational projects (automation opportunities, workflow tooling, data/reporting).
- Evaluate and help implement AI-enabled or tech-forward processes (within policy and privacy guardrails).
- Gather user feedback from medical assistants and improve workflows.
Hands-on Desk-Based MA Work (as needed)
- Eligibility/benefits verification
- Scheduling
- Prior authorizations (meds/diagnostics/procedures)
- Medication refills.
- Chart prep/pre-visit planning
- Data aggregation
Required experience
- Team leadership of MAs or similar clinical support roles (scheduling, training, performance feedback).
- Building protocols/SOPs and workflows; running small operational pilots or projects.
- Direct experience with: eligibility checks, appointment scheduling, prior auths (meds, diagnostics, procedures), medication refills, data aggregation/reporting, and chart prep.
Technology requirements (must be proficient)
- Productivity & collaboration: Microsoft (Word, Excel, Outlook), Google Drive/Docs/Sheets, Zoom, Slack.
- EHRs: hands-on use of multiple systems, including eClinicalWorks (eCW), Harris CareTracker, athenaOne, Cerner, and Epic; comfortable switching devices (desktop/laptop/tablet).
Minimum qualifications
- High School Diploma/GED and Medical Assistant certificate/diploma (or equivalent documented training).
- 1–3 years related MA experience (ambulatory). 2+ years with leadership/training responsibilities preferred.
- Current AHA BLS for Healthcare Providers.
