Job Description
Location: New York, NY (Hybrid – 3 days/week in office)
We are seeking a highly organized and detail-oriented Medical Records Operations Specialist to support a growing mass tort and mass arbitration practice. This role will oversee the intake, tracking, retrieval, and organization of claimant medical records, working closely with attorneys, operations teams, claimants, and third-party records vendors to ensure efficient and accurate records management.
- Review, clean, and standardize claimant and provider data for records requests.
- Prepare and submit medical records request packages, including HIPAA authorizations and supporting documentation.
- Manage relationships with medical records vendors, track request status, and resolve deficiencies or delays.
- Coordinate with claimants to obtain updated authorizations and missing information.
- Maintain provider-specific requirements, forms, and procedures to improve retrieval efficiency.
- Track, organize, and quality-check incoming records to ensure completeness and accessibility for case teams.
- Collaborate across legal, operations, intake, and technology teams to enhance records workflows and processes.
- 3+ years of experience in medical records retrieval, litigation support, healthcare administration, claims operations, or a related field.
- Strong experience managing high-volume data, spreadsheets, and tracking systems.
- Working knowledge of HIPAA authorizations and medical records request processes.
- Experience with records retrieval vendors, provider portals, or document management systems preferred.
- Proficiency in Microsoft Excel, Word, and database/document management tools.
- Exceptional organizational, communication, and project management skills.
- Ability to work independently in a fast-paced, high-volume environment.
- Bachelor’s degree a plus
- Experience supporting mass tort, mass arbitration, personal injury, or other high-volume claimant matters. preferred
