Overview:

Our client, a reputable organization, is looking to add a Senior Client Services Administrator to their team. This individual will provide direct support to Portfolio Managers by managing client requests, coordinating with internal departments, and delivering proactive, high-quality service.

Key Responsibilities:

General Firm Support

  • Maintain client relationship management database

  • Coordinate and participate in client onboarding

  • Draft, edit, and proof client communications

  • Collaborate with client services team to meet deadlines

  • Provide backup support for receptionist duties

  • Assist in developing Client Operations policies and procedures

  • Ensure operational checklists are accurate and up to date

  • Support Director of Client Operations in meeting firm goals and timelines

  • Monitor client service workflows for consistency and excellence

Custodian Coordination

  • Ensure accuracy of client records during profile changes, account setup, and termination

  • Review daily client deposits and withdrawals

  • Assist clients with forms and documentation

  • Track and ensure timely client distributions

Client Engagement

  • Respond to day-to-day client requests

  • Complete service-related forms and assist clients as needed

  • Handle third-party information requests on behalf of clients

Portfolio Manager Support

  • Schedule and coordinate client meetings

  • Prepare and quality-check client presentations

  • Manage follow-up actions post-meetings

  • Maintain shared task lists for Portfolio Managers

Qualifications:

  • Bachelor’s degree in Business or related field preferred, or 5+ years of relevant experience

  • Minimum 5 years of experience in the financial industry

  • Experience working within a Registered Investment Advisor (RIA) environment

  • Strong organizational and interpersonal skills with high attention to detail

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), Schwab Institutional, and CRM software

  • Degree not required if candidate has equivalent experience

Pay Details: $65,000.00 to $80,000.00 per year
