Administrative Coordinator – Keep Our Operations Running Like Clockwork
We’re looking for an Administrative Coordinator who’s ready to take ownership of critical processes, keep things organized, and be a go-to resource for multiple teams. In this role, you’ll balance structure with flexibility, detail with big-picture thinking, and process with people—helping our operations run seamlessly every day.
Responsibilities
- Oversee the parts order program from start to finish—enter orders into the ERP system, confirm lead times and delivery dates with customers, prepare shipping documents, and coordinate with the warehouse team for on-time deliveries.
- Partner with the Customer Relations Team to keep parts pricing accurate and updated in the ERP system through annual reviews.
- Manage shop equipment purchases—from tools and R&D samples to cleaning supplies and small equipment—ensuring requests are fulfilled quickly and accurately.
- Jump in on special projects that keep operations efficient and on track.
- Keep workflows organized by filing and scanning documents for various teams.
- Step in as backup receptionist, answering customer calls with professionalism and greeting guests with a warm, welcoming presence.
Knowledge, Skills, and Abilities
- Strong communication skills to collaborate effectively with customers, suppliers, and colleagues.
- Keen attention to detail to ensure orders, purchases, and shipments are accurate and timely.
- Adaptability and ease with shifting priorities.
- Ability to multi-task while staying organized and efficient.
- Proficiency in Microsoft Office Suite, including Word and Excel.
