Job summary

The Medical Practice Manager is responsible for the overall operational, financial, and personnel management of the medical practice. This includes optimizing workflows, ensuring regulatory compliance, and driving the financial health and growth of the organization. The manager will also be a supportive leader, building a cohesive and motivated team to ensure the highest quality of patient care and satisfaction.

Essential duties and responsibilities

Financial management

  • Budgeting: Develop, manage, and monitor the practice's budget, analyzing monthly financial reports to identify and explain variances.
  • Revenue cycle management: Oversee the entire billing process, including accounts receivable, collections, and negotiating with insurance providers.
  • Payroll and benefits: Oversee payroll processing and staff benefits (such as retirement and workers' compensation), and handle leave entitlements.
  • Reporting and analysis: Track key performance indicators (KPIs), such as collection rates and patient volume, and present performance insights and growth strategies to practice owners.
  • Cost control: Monitor office expenses and implement cost-saving strategies to improve the practice's profitability.

Team leadership and development

  • Recruitment and hiring: Oversee the hiring and onboarding of new providers and staff.
  • Training and performance management: Conduct regular performance evaluations, provide ongoing feedback, and organize training and professional development programs.
  • Conflict resolution: Serve as a mediator for staff conflicts and address performance issues constructively.
  • Fostering teamwork: Promote a positive and collaborative work environment through open communication, team-building activities, and by setting clear, shared goals.
  • Employee engagement: Create a culture where employees feel heard and valued by implementing feedback sessions and recognizing exemplary performance.

Operational management

  • Daily operations: Oversee all day-to-day operations, including patient scheduling, appointment flow, and ensuring the office is clean and safe.
  • Regulatory compliance: Ensure the practice remains compliant with all federal, state, and local regulations, including HIPAA and OSHA.
  • Policy development: Develop, implement, and update practice policies and procedures to improve efficiency and workflow.
  • Patient relations: Address patient concerns and complaints, ensuring high levels of patient satisfaction and a positive patient experience.
  • Vendor and supply management: Manage relationships with vendors, negotiate contracts, and oversee the ordering and inventory of medical supplies and equipment.

Qualifications

  • Experience: Proven experience (e.g., 3–5 years) in a medical practice management or a similar healthcare leadership role, including experience with financial and budget operations.
  • Education: A bachelor's degree in healthcare administration, business management, or a related field is typically required, though experience may substitute. A master's degree or relevant certification (e.g., CMPE or CPPM) is often preferred.
  • Skills: Exceptional communication and interpersonal skills, strong leadership and decision-making abilities, proficiency with medical practice management software and EHR systems, and a solid understanding of healthcare regulations.
