What We Are Looking For:
The Veteran Benefits Guide Talent and People Operations Administrator manage the administrative backbone of the full cycle recruiting process, ensuring seamless coordination of candidate workflows, accurate data management in the ATS/HRIS, and efficient onboarding. This role supports recruiters and hiring managers by handling scheduling, documentation, compliance checks, and reporting to deliver professional candidate experience and maintain hiring pipeline integrity.
Supports administrative needs of the People Operations department to maintain operational efficiency, data integrity, and cross-functional support within the People Operations function.
Essential Functions:

- Provide administrative support across Talent Acquisition and People Operations, including recruiting coordination, onboarding, employee lifecycle changes, and offboarding processes.
- Manage end-to-end administrative workflows in the applicant tracking system (ATS and HRIS), including updating candidate statuses, logging interactions, and generating reports on pipeline metrics (e.g., time-to-fill, source tracking).
- Schedule interviews, create interview packs, book meeting rooms/video tools, and coordinate candidate communications (emails, calls, status updates) across all stages.
- Post jobs to internal/external boards, monitor applicant responses, and perform initial resume audits for completeness.
- Initiate and track pre-employment processes: background checks, references, letters, and new hire paperwork.
- Support onboarding by preparing orientation packets, coordinating with HR/IT for access setup, and maintaining employee records.
- Audit applicant/employee data for accuracy, resolve discrepancies, and ensure compliance with recruitment policies.
- Generate recruiting reports, reconcile vendor invoices (e.g., background checks), and assist with events like career fairs.
- Maintain HR databases, respond to reference requests, and uphold confidentiality across all activities.
- Assist with employee changes such as promotions, transfers, job changes, compensation updates, and terminations by processing documentation and system updates.
Qualifications or Competencies:
- Proficiency with ATS/HRIS systems and Microsoft Office Workspace.
- Strong organizational skills and ability to handle multiple tasks.
- Ability to prioritize with tight deadlines and attention to detail.
- Excellent communication for candidate-facing interactions and internal coordination.
- Experience with background checks, offer administration, and basic compliance (e.g., employment laws) preferred.
- Proactive problem-solver with strong attention to detail, comfortable with data entry, auditing, and process improvement initiatives.
Education and previous work experience:
- 2+ years in recruiting administration, HR support, or similar administrative role.
- High school diploma required, Associate’s or Bachelor’s in HR, Business, or related field preferred.
