We're a growing professional services company looking for a reliable, detail-oriented administrator to help keep our back office running smoothly. This is a hands-on role where no two days are exactly the same — you'll be supporting billing, operations, and the owner directly.
Hours: 8:00 AM – 12:00 PM (Part-Time) or 8:00 AM – 5:00 PM (Full-Time)
What You'll Be Doing
- Process incoming receipts and expenses in our billing system, ensuring costs are accurately recorded and assigned
- Generate and send client invoices on schedule; follow up on outstanding balances and escalate overdue accounts as needed
- Collect and verify employee expense receipts and compile reimbursables for each pay period
- Request, track, and collect Certificates of Insurance from carriers and vendors; maintain an up-to-date COI log
- Collaborate with ownership on back-office priorities, keeping tasks organized, clearly defined, and moving to the right people
- Track and record employee PTO and vacation requests; maintain accurate balances
- Receive and organize incoming equipment and deliveries as needed
- Keep the office stocked and orderly, including managing supply reorders as needed
- Maintain organized digital and physical filing systems
What We're Looking For
- Prior experience in an administrative, bookkeeping, or office coordinator role
- Working understanding of basic accounting principles — specifically how debits and credits flow through a billing system
- Strong attention to detail and follow-through; you don't let things fall through the cracks
- Comfortable working closely with a business owner and managing your own workload day-to-day
- Comfortable speaking up and coordinating across the team when something needs attention beyond their own desk
- Proficient with common office tools; quick to pick up new software
