About the Role

The Operations Manager reports directly to the Director of Operations and Human Resources, playing a critical role in managing the day-to-day effectiveness of PAI’s operations. The Operations Manager assumes responsibility for efficiency across PAI including office management, fiscal management, organizational compliance and grant processing. This role will serve as PAI’s point of contact for payroll and will coordinate across departments to ensure accuracy. This position will play a collaborative role in developing and implementing systems that increase the quality and efficiency of our work, supporting our ability to grow and expand our mission. The Operations Manager is expected to be a professional thought leader in the organization and a collaborative force in the Operations Department.

Essential Functions:

• Coordinate with finance to reconcile department expenditures.

• Execute payroll operations, including non-routine annual and special increases, and promotions.

• Manage, draft and review agreements, including procurement and service contracts, contemplating potential outcomes, with an eye to compliance and creative solutions.

• Collaborate with the Director of Operations and Human Resources to develop, recommend, implement and evaluate operational policies and procedures for all areas of responsibility.

• Ensure policy and procedure compliance with applicable local, federal and state regulations and laws governing business operations.

• Collaborates in the acquisition, distribution, and storage of company supplies and shared support services such as meeting support, mailing, printing, copying; security; cleaning and maintenance.

• Create and administer budgets for supplies, equipment, and contract services.

• Collaborate across departments to manage vital grant and contract processes.

Position Qualifications:

• A bachelor’s degree is required or equivalent work experience. Minimum 3-4 years’ experience in office, financial or operations management.

• Excellent organizational skills, flexible and able to multi-task, with demonstrated resourcefulness in setting priorities.

• Strong verbal and written communication skills; ability to effectively present and execute innovative ideas.

• Strong sense of accountability, integrity and ability to handle highly visible responsibilities.

• Excellent analytical skills, ability to quickly aggregate and analyze information.

• Ability to take initiative, act independently and direct one’s own work.

• Exercise exceptional common sense, emotional intelligence.

• Maintain discretion and confidentiality.

• Commitment to the vision and mission of PAI.

• Working knowledge of basic business and accounting principles as applied to resource allocation and grant processing.

• Advanced knowledge of Microsoft Office Suite and Adobe Products.

Salary and Benefits:

This position is based in Washington, D.C., the salary range for this role is $70, 000 - $78,000 USD, plus benefits opportunity. The employment offer for a successful candidate will be determined by a combination of factors, including, but not limited to, skill set, level of experience, education, and market considerations.

Other Information:

Please note, the position is on a hybrid work schedule. Four days a week, Monday, Tuesday, Wednesday, and Thursdays are required in the PAI office with one day working from home. Schedule changes are based on the needs of the organization.
