The Transportation Coordinator is a detail-oriented problem-solver who will support the day-to-day operation of our fleet of vehicles. The Coordinator will ensure timely vehicle maintenance, support our driving staff, respond to on-the-road issues, and help to maintain compliance with safety and regulatory standards to ensure that we can support people throughout the community. As a Transportation Coordinator, you will be responsible for:


Vehicle Maintenance and Compliance

  • Systematically monitors vehicle maintenance software to track vehicle performance and maintenance schedules.
  • Coordinates regular vehicle preventative maintenance, repairs, emissions testing, and registrations to comply with regulatory requirements.
  • Responds promptly to emergencies and immediate safety concerns, including lockouts, tire blowouts, jump starts, and provides support at accident scenes.
  • Utilizes diagnostic code reader to check engine codes for vehicle troubleshooting.
  • Monitors vehicle maintenance requests in our electronic record system (iCare) to ensure timely processing.
  • Purchase supplies related to vehicle maintenance and operations.

Collaboration and Coordination

Serve as a point of contact for vehicle-related issues, troubleshooting basic concerns and escalating more complex issues as needed.

Provides excellent customer service to all stakeholders, ensuring their needs are met effectively. Will work closely with internal and external personnel.

Assists Operations and Programs teams in researching new equipment and vehicles to enhance organizational cost efficiency and safety effectiveness.

Assists with staff training, including defensive driving, driving assessments, and lift training to enhance safety practices.

Coordinate driver routes to optimize transportation logistics. Collaborate with staff around route optimization.


Access Management

Obtains and maintains current titles and registrations for vehicles within the fleet; distributes insurance cards for vehicles within the fleet.

Manage the distribution and tracking of gas cards, including issuing access codes to employees for fuel management.

Affix vehicle decals as needed to maintain branding and identification standards.

Schedules repairs for secondary equipment such as the Lynx camera systems, as necessary.

Utilize tracking systems such as HandyTrac to manage key distribution.

Replace and copy vehicle keys as needed.


Schedule for Transportation Coordinator: M-F Daytime

Compensation for Transportation Coordinator: $22.00-$24.50/ hour

Transportation Coordinator will travel between Providence locations





Requirements:

Our Transportation Coordinator will have:

  • Full, Non-Provisional Driver's License
  • Previous experience in vehicle maintenance, repair or operations preferred.
  • Strong understanding of vehicle mechanics, maintenance practices, and repair processes.
  • Minimum of three years of customer service experience, preferably within the Intellectual and Developmental Disabilities (IDD) community.
  • Proficient with Microsoft Word, Excel and Outlook.
  • Experience with iCare Management, efleet, HandyTrac, and Lynx camera systems- or comparable systems preferred.
