In this role, you will be the first point of contact for visitors and callers, ensuring smooth and efficient communication across the organization. Responsibilities:
• Welcome visitors and provide them with appropriate assistance and information.
• Manage a multi-line phone system, directing calls to the correct departments or individuals.
• Answer and route incoming calls promptly and courteously.
• Maintain an organized and tidy reception area to ensure a positive first impression.
• Support administrative tasks such as scheduling appointments and handling correspondence.
• Collaborate with team members to ensure smooth front desk operations.
• Address inquiries from staff, students, and external stakeholders efficiently.
• Ensure confidentiality and discretion when handling sensitive information.
• Monitor and manage office supplies for the reception area.• Previous experience in receptionist or front desk roles, preferably in an educational setting.
• Proficiency in managing multi-line phone systems, including switchboards handling 1 to 10 lines.
• Strong verbal and written communication skills to interact effectively with diverse groups.
• Excellent organizational skills with the ability to multitask and prioritize responsibilities.
• Attentive to detail and customer service oriented.
• Basic computer literacy, including familiarity with office software.
• Ability to work part-time hours as required by the contract.
• High level of discretion and attention to detail when handling sensitive information.
