Payroll & Timesheet Administrator — Murrieta, CA (Hybrid)

We are actively recruiting a Payroll & Timesheet Administrator on behalf of a well-established, nationally recognized construction consultancy in Murrieta, CA. Schedule: Monday–Thursday in office, remote every Friday
Pay: $28–$30/hour
Start: ASAP — interviews are actively being scheduled
What You'll Be Doing
- Monitoring, collecting, and processing weekly timesheets for a large domestic employee base
- Sending weekly reminders and managing a structured follow-up escalation process for missing or incomplete timesheets
- Tracking and reporting on missing timesheet submissions weekly
- Correcting timesheet errors — including moving hours between billable, non-billable, PTO, sick, and holiday categories
- Communicating timesheet corrections to the billing team in real time so invoices are not impacted
- Entering subconsultant timesheets into the system
- Updating supervisor and title changes in the timekeeping system
- Assisting with new employee setup and maintaining accurate employee records
- Setting up new projects in the system
- Maintaining standard operating procedures (SOPs) for timesheet completion
- Tracking metrics on repeat offenders and generating reports for supervisors
What We're Looking For
- 3+ years of experience in payroll processing, timekeeping, or accounting administration
- Hands-on experience collecting, correcting, or following up on timesheets or payroll data
- Strong organizational skills and ability to manage a high volume of employee records simultaneously
- Excellent written and verbal communication skills — you'll be interacting with employees, supervisors, payroll, HR, and the billing team daily
- Proficiency in Microsoft Excel
- Experience with a timekeeping or ERP system (Deltek or similar a plus)
- Construction industry experience preferred but not required
- Comfortable working under tight deadlines — especially at month-end close
- Professional, persistent, and able to work with a wide range of personalities across departments
- Associate's or Bachelor's degree in Accounting or Business preferred; equivalent experience accepted
