We are looking for a detail-oriented Accounts Payable Clerk to join our team in Fremont, California. This Contract to permanent position is ideal for someone early in their accounting career who is eager to grow, develop new skills, and contribute to a collaborative and fast-paced environment. The role involves managing vendor invoices, payments, and financial records while ensuring accuracy and efficiency in all processes.


Responsibilities:

• Process vendor invoices with accurate coding and approvals, ensuring timely entry into the accounting system.

• Prepare and execute weekly payment runs, including checks, wires, and other payment methods.

• Reconcile vendor statements and promptly address any discrepancies or issues.

• Maintain organized vendor records, including W-9 forms and payment details.

• Assist in matching purchase orders with invoices and ensure compliance with internal controls.

• Support month-end closing activities by preparing accruals and reconciling accounts payable sub-ledgers.

• Communicate with vendors and internal departments to resolve inquiries related to invoices, payments, and coding.

• Audit and process expense reports to ensure adherence to company policies.

• Create and maintain accounts payable aging schedules, providing regular updates to management.

• Utilize Excel tools such as formulas and pivot tables to analyze invoice and payment data effectively.

• 1–2 years of experience in accounts payable or general accounting preferred, but training opportunities are available for the right candidate.

• Proficiency in Microsoft Excel, including formulas, sorting, filtering, and pivot tables.

• Familiarity with accounting software such as QuickBooks or similar platforms is a plus.

• Strong attention to detail and accuracy in data entry and financial recordkeeping.

• Excellent communication skills and the ability to resolve vendor or invoice-related issues efficiently.

• Demonstrated ability to prioritize tasks, stay organized, and meet deadlines in a fast-paced environment.

• Willingness to learn, take direction, and grow within the accounting field.

• A degree in Accounting or Finance is preferred but not required.
