Position Summary

The Marketing Event Coordinator is responsible for the planning, coordination, and execution of all B2B industry events, including major tradeshows such as the PPAI EXPO, ASI Shows, and other key events. This role is essential to driving brand presence, lead generation, and customer engagement through high-impact experiences. The ideal candidate is highly organized, experienced in B2B event marketing, and skilled in project management tools and processes.

Key Responsibilities

  • Plan and manage all aspects of tradeshows and events (PPAI EXPO, ASI Shows, regional events, etc.)
  • Collaborate cross-functionally with marketing, sales, product development, and leadership to define event goals, messaging, and metrics
  • Own end-to-end event logistics including but not limited to: booth planning, asset creation, product sample management, merchandising planning, pre/post-event internal communication, pre/post-event marketing, budget tracking, and lead follow-up process
  • Drive lead capture at events, ensuring accurate data management, ownership of lead records, and coordination with Sales of the follow-up process to guide prospects towards conversion
  • Serve as the main point of contact with event organizers, vendors, and internal stakeholders
  • Develop and manage event timelines, budgets, and post-event reporting
  • Ensure booth designs, product displays, and promotional materials align with Koozie Group branding and strategic priorities
  • Track KPIs and provide detailed event recaps and reporting with ROI analysis
  • Maintain project workflows using the company’s project management platform (e.g., Asana, Monday.com, Workfront, etc.)
  • Identify opportunities to improve event experiences and processes

Qualifications

  • 2+ years of experience in B2B event planning, tradeshow management, or corporate marketing coordination
  • Proven success managing multiple complex events simultaneously
  • Proficient in project management software (e.g., Monday.com, Asana, Workfront, etc.)
  • Salesforce experience a plus
  • Strong organizational and time management skills; ability to manage deadlines and prioritize tasks
  • Excellent communication, interpersonal, and vendor negotiation skills
  • Creative thinker with strong attention to detail and brand alignment
  • Willingness to travel
